export all the existing data for one specific constituent

Options
I am trying to export all the existing data for one specific constituent from The Raiser's Edge. However, it is time consuimg to select every single filed to export. I was wondering if there is any way that I can select all the fileds simultaneously to be exported? Or if there is any way that I can figure out which fields are filled for this specific constituent?

Thanks,

Not sure what your purpose is but have you looked at Reports > Profiles, Lists & Directories > Constituent Profile?  Plug their name in their and see if that gives you all the info you need.  Pretty good report.

Just a thought - don't know of any way to auto select all fields to export.

Thank you JoAnn for your answer. My purpose is to underestand what fields are filled (used) in the database. Do you know of any way that I can figure out the number of fields that are used in my database (The Raiser'[s Edge)?

    Thanks,

  • Have you tried doing a Constituent Profile - available in the Print/Print preview? You can select a wide variety of information - very useful and faster than an export.

    Amine,

I don't know that looking at one record is going to tell you every field that is used in your database.  An org record may use different fields than in individual record.  One record may have credit card info and anther doesn't.  I think I'd ask support if there's any way to tell that.

For us, exporting all the fields for one record is not going to show all the fields used because it's doubtful they are all used on one record.  Are you looking for fields not used just to better utilize the software or a field you can re-purpose?
  • If you go into configuration, and go to the "Fields" option, you can see all of the fields that are in the database. The "Tables" option there will let you see the list values for any table in your database. Finally, "Attributes" will allow you to see any fields defined by your organization. Right clicking will allow you to export any of this information into excel.

You must have supervisor rights or rights to configuration in order to see this.

Hope this is what you are looking for.

    Thank you very much Eddye,

I was wondering if there is any way I can find whether or not our organization has data on each field? In other words, whether or not each field is used?

  • Unfortunately, not as a part of Raisers Edge standard tools. Our organization purchased Table omatic from omatic software. It does let you export the tables and get a count of how many records have those values.

As a workaround, you could export, using import (sounds wrong, but I'll explain). However, it would be time consuming, since the information would have to pulled in multiple passes.

    1. To do this, go to Admin -> Import -> select the record type (like Constituent to pull the constituent fields.)

    2. In the top left hand, select create import file. Make sure to select the option to pull all fields.

    3. When naming the file, add ".csv" to make the export come out in an excel format.

    4. When the file is exported, add a formula in the last row of the spreadsheet that counts non blank spaces. (The formula is "=counta (data selection)).

    5. Pay attention to the columns that have a value of 0 (which means there are no records with that field) or records that are not blank at all, it will equal the number of rows in the spreadsheet  (which means it is most likely a required field or a field that has a default value that automatically populates.)

I hope this makes sense. If not, I can provide some screens hots if this sounds like what you need.
