Constituency Codes Clean-up

I am working on cleaning up the constituency codes and setting priorities for future data entry.  In the past around here, they didn't use the From/To fields.  They just added more codes.  Board Member, Former Board Member, etc.  So last summer I did a lot of clean up and noticed that data entry is slipping again and have more to clean up.


I need some input....


1.  Is there a way for the system to add their First Gift Date to the Constituency Code "Date From" field?  I have over 4,000 donors without a start date in the constituency code and wanted to clean it up easily.  Also thought it would be nice if the system automatically generated that date when the first gift is entered (like it does when you mark them as deceased).


2. On alumni, for the "Date From" field, do you put the date they graduated or the date they were entered into RE?

  • You can export all of your constituent codes and first gift dates (you need to decide if a soft credit counts as a first gift) and then re-import the constituent codes with the first gift date added as the date from on your constituency code.


    For alumni we would put date graduated.

    Just to add to what Melissa said and then a little more:

    for Alumni I often don't populate Date From in the Bio 2.  I can query off of Date Added if needed to retrieve a group of Alumni (imported at the same time, for example) and I can also query off of the graduation date and class year.


    Second, if you're making changes to Constituent Code after a gift has been made, BEWARE.  If your first gift date is 12/1/15 but you change your constituent code and add date from: 3/30/16, this can cause issues when running gift or analytical reports.  These constituents can show as Unknown, since they had no constituent code as of the date the gift was entered, per the calendar.
