Renewing Memberships

Our members tend to “renew” with different additional members (or card holdes) Because I wanted to maintain a history of the members of a particular card, when the primary member essentially renewed I did not use the renew function but created a new membership.  Doing that, however, I lost all the reporting measures built into RE on “renews”.  Is there a way in which I can use the renew function but maintain a history of past card holders?

  • Unfortunately, it's all or nothing... we have schools and organizations that trade members in and out all the time. With the schools I don't take the time to recreate the membership on the individual student records, but do so for the company employees. Our programs are set up as

    Individual - meaning and individual paid for the membership

    Associate - meaning that a company or org paid for the membership

    Mallon - given a membership because of MAJOR support to our annual Fundraising dinner.


    So for the person who is ADDED to an associate membership for an organization other than a school I create an membership on their individual record, the joined on date is "today" the Program is Associate and then the category is which ever is applicable. I show the membership as a GIFT of Membership from the organization. The expiration date for the indiv membership is the same as the one on the Company record.  If they are "removed" at renewal by the company then we send out an individual renewal notice to that person asking if they would like to renew on their own.


    This way, we keep the membership history, and also have the opportunity to keep the person on as a member, even if the company does not continue the membership.
  • Thanks - that is very helpful.  I couldn't run
    any renewal reports because I had to create new records for
    everyone.  Making those "new" memberships to replace the
    memberships which were lost because of the primary member's renewal
    seems like a lot of work but I suppose I could enter them in batch
    - is that how you do it?
