Tracking Major Gift Prospects (without Solicitor) in Raiser's Edge

Hi everyone,


Our Major Gift staff is trying to figure out a way to track potential major gift prospects who aren't big enough leads to be picked up and given a solicitor, but should be placed on a "watchlist", for lack of a better term.


Does anyone do this at their organization?  If so, what flags do you give them so that they're easily trackable in the system?


Any adivce would be greatly appreciated!

  • You could still assign them a Solicitor, but use a different Solicitor Type.  Or you could create (or use if you already have one) a dummy record, and make that the Solicitor.  (I have one for Gifts from unknown donors and to store Notes and Media that don't fit elsewhere but should be in the database somewhere.)


    If you are considering NXT, you will probably want to assign them to an actual Solicitor, since NXT is Solicitor-based.  If you go the dummy record route,  you'll need to set up your dummy Solicitor as a User in order to see the Work Center for that Solicitor/Fundraiser in NXT.  (If this is your situation, let me know and I'll provide more details.)


    You could also use a Constituent Code or an Attribute for potential prospects, or use the Giving Score feature.  There are a number of ways to tag a group of records to make them easily Queriable.  Some of it depends on how many records we're talking about here.  Whatever you decide to do, I would use a set of dummy/test records to test your system and make sure it does what you need it to do and works in the way you need it to work before you spend the time and effort to put a system in place and then find it's not what you need.
  • Do you have the Prospect Tab?


    Depending on how you're already using this - You could use Prospect Status.  Our status tracks where they are in the Prospect Assignment continuum - Pending Assignment, Assigned, Disqualified (never to be assigned), Unassigned (not being assigned now, but maybe later).  You could use a status called watchlist.  And then pull accordingly. (We've recently walked about doing this as well).


    If no prospect tab, or if you're using this field differently, how about a constituent attribute called watchlist?  Then you could note the date added and add comments as to why added.  You can then, of course, pull those with the attribute, those with the attribute which was added before a certain date, etc...

  • You could either do what Jennifer said and still give them a solicitor, just a different one.  I have had a group like this before and their Solicitor was the Develoment Department (yes, that means you have to make a constit record and mark it as a solicitor), and that worked.


    Or you could just have a major donor Action Type and utilize the Action Status to tell you whether they are in the discovery, cultivation, solicitation or stewardship stage.  And as things change you can change the status -- and moves management tool.  If you have Prosect Tab you can use that instead on in conjunction with Actions.
