Recording Actions as Proactive or Responsive

At the community foundation where I work, we have two tiers of actions for our donor relations team to use with current fundholders. We use "Admin" actions for simple tasks, which are largely responsive (rather than proactive).


The higher tier, which we call "FH" or fundholder actions represent more significant conversations that move the relationship forward. We use note types as a de facto action subtype. I have set up an action attribute to mark actions as proactive or responsive, but to me it does not seem intuitive enough. 


To further complicate matters, we would like to add another item to the "Proactive/Responsive" action attribute table, which would be used for when a donor begins a conversation and the donor relations officer converts that into an opportunity for deeper conversation. 


Does anyone have ideas of how this might be done more simply and intuitively?

  • What you are really talking about with the "fundholders" is a moves management strategy.  And Actions is the place to have it.


    The best place, have done myself at several orgs, is to put that "move" in Action Status.  1-Discovery 2-Cultivation 3-Solicitation 4.Stewardship 8-Revisit (at a later time)  9-Drop (and never revisit)


    That way, every time something moves along the track the new interAction is added with a new or same status depending on where it falls in the pipeline.  And bonus -- the Action Status can be a visible column on the Actions Tab page and pulls into canned reports for Actions.

    Action Status: (allows us to differentiate substantive moves from less substantive activity)

    Action Attributes: (allows us to segment our stewardship actions; we don't yet have attributes for our other action types)

    Stewardship - Thank You, Service Recovery, Pledge Reminder, Annual Statement, Tour, etc
