Gift Batches - choosing fields

Options
Is there a way to include Fund Description and Fund ID in gift batches?  Some of our employees use Fund Description while others use Fund Id.  Any help is appreciated.

I believe we're limited to one or the other.I'm not aware of a way to include both in the batch.
  • I believe you can set the preference under Tools...User Options...Records...Funds...

You can select Description or ID.

If each user sets the preference here, it should carry over into the batch entry.

The batch won't include both - just the variation the user sets.

I'm not sure that's true.  I just checked one of our master batches where we enter the fund by ID (numbers in our case).  If you enter the number, it populates with name.  If you start entering the name, it populates with the rest of the name (curse you, auto-correct!).  If you drop down, it's in alpha by name, not in ID order. So I think the only problem is if you have someone who doesn't know the ID but wants to enter it that way - unless you use alphanumeric IDs and they correspond logically to whatever you have on your form.  Seems like you can enter them either way without changing anything.

  • It appears you only have the option of choosing Fund ID. There are a couple things you can do that would make the Fund easier to find in the list.  One is be very consistent in the way the Fund IDs are formatted so you can find them in an AlphaSort.  Secondly, I have taken to taking that a step further and using two letters at the beginning of the FundID to further sort them into groups.

    a.Annual Fund

    a.Tuition Assistance

    en.Endowment-Scholarship

    en.Endowment-Professional Development

    ev.Gala/Auction

    ev.Golf Tournament

get the picture?  Hope this helps as a work around option
  • I will also say that making any funds not currently in use inactive helps.

I feel like I saw some suggestions once for adding aliases to fund records...

Add Alias and Sort Name fields on RE fund record

Fund often have complex names, so would like the ability to use an Alias field to enter alternate names for the fund and a Sort Name so we can enforce the sorting of the fund name would be very helpful.
