Scanning & Attaching Gift Documents/PDF's - Scanner

Hi,



Does anyone have a recommendation for a document scanner that works well with RE?   Do most sites attach PDF's of donations (checks, donor agreements, etc.).

    We have PaperSave with RE, but love the scanners we purchased for that purpose.. Fujitsu fi 6130z

    They're solid, dependable, small.  They're a bit pricey, though.

  • We have been using the Xerox Documate (our models 250, 252) scanners for quite a few years and they are great. They handle all sorts of media. We attach pdfs in MagicFolder.

    We love Papersave scanners too.  They allow you to redact certain info from documents if needed (social security numbers), and in RE a pop-up will appear when Papersave documents exist for a record (constituent, gift, etc).  And you can manage security access for different types of documents.

  • We use the scanner on our Xerox machines.  It scans directly to a Network Folder, and I go there to rename the files, do any editing, and put them in RE.  It's easy and super fast.



    We have Adobe Acrobat (not Reader), and it allows for cropping (which doesn't remove content, just hides it) and redacting (removes content) as well as other things.  Once the ack letter is signed and ready to mail, that gets scanned as well and added to the file of gift paperwork.



    We've been doing 100% electronic filing for 4.5 years now.  (On the edge of my seat for the improved capabilities in RE:NXT so I can do some cleanup and put Attachments on Gift Records, among other things!)

    Can you tell me how easty it was to install with RE?   Do we need to purchase or intall anything else prior to using scanners?

    I am also interested in knowing ... once you purchase the scanners are they compatible with RE7 or do you need to import any other software to use the scanners?

  • I'm on the same track as Jennifer - we scan on our "all-in-ones" (HP printers of various models) and using the scan driver that came with the printers, we direct the PDFs straight to the "month" folder. I'm sure other organizations have way too many gifts to do this, and I did look into PaperSave, but it's too expensive for us.  We use our slaves..sorry, I mean work/study students to "attach" the Media one at a time.  They work from the committed batch, so they go straight to the Constituent in question and then just have to find them alphabetically on our shared drive in the "month" folder in which they are likely to appear.  It works well for us, but, as I said, we have relatively low volume and slave labor.  We save basically NOTHING as hard copies, and we have the backup of the PDFs on our network if anything happens (and it has - PDF attached to wrong record, major crash that "broke" all the links to the PDFs - which is when we started embedding the PDFs instead of linking them. Ah, how the work/studies enjoyed going back for 15 months worth of gifts to reattach all the Media!!).

    We are looking at getting a scanner also, and were looking at the Fujitsu based on your recommendation.  Can you tell me if you have one scanner that is shared, or does each person have a scanner?  We are trying to get one that 3 of our staff can share, but it looks like there is only one Fujitsu that is network capable.  How do you get around that?  Thanks so much for your input:)

    We wound up getting Fujitsu  fi-6110,
    they are working out well.  We do have 3 scanners, one for
    each gift coordinator and myself.

    The scanners, as far as I know, do not share
    well, as ours are connected to each computer station.  We also
    use PaperSave, and each scanner and account are specific to each
    user.
