Invalid/bounced emails

I have a question about best practices on how other nonprofits handle invalid or bounced emails in RE. Do you remove email addresses from RE or archive them, add a note?

    We mark them as "Invalid email."  Often that same email address will re-surface and it's helpful when that email comes in from a solicitor or on a document of some type to know that it is not a valid email.
  • We use the Do Not Contact flag, as we seldom if ever use it for anything else and the phone numbers/emails are then very easy to exclude from exports. We're on 7.93 now but when we move to 7.95 I imagine we'll switch to marking them as Inactive.



    Many constituents have more than one invalid email on their record, so using phone type to record this would mean we'd have to create "Invalid Email 1", "Invalid Email 2", "Invalid Email 3" etc. Plus we like to retain the information on what sort of email it was (e.g. personal/business) to use as a measure of warmth, which we couldn't do if we changed the type.
  • We change the type to Old Email1, 2, 3, etc. We used to delete them, but realized that may were getting re-imported or re-entered from other sources.
  • How do you mark soft bounces - or is there really a difference? Does a soft bounce mean that they are not getting our emails and I should mark it as invalid?


     
  • I'm working on this right now, to fulfill a request from our Marketing Dept.  I did just change the Phone Type from eHome or eWork to XeHome or XeWork, but I have now split them to differentiate between Opt-Outs/Unsubscribes and Hard Bounces.  Soft Bounces can stay on your list, as they'll either turn into Hard Bounces or will eventually get thru.  If you use OLX or another email management system, it should automatically handle unsubscribes and hard bounces...until you have to pull a list out of RE and exclude those addresses (which is what I'm doing now).


    We're on 7.95, but I don't care for the Inactive checkbox...and sometimes the address is still valid, just isn't on our email lists anymore.  We use the DNC indicator for an address that should never be used in any circumstance.  But this lets us leave the address in the db for reference...as JoAnn mentioned.
