seasonal addresses

Options
i was wondering how when doing a mailing we could account for seasonal addresses?  Like every query request would have to include address dates or would we just know it's during that time period and pull it?

  • Use Address Processing Fields for your Address...it lets you select options for Seasonal Addresses.

  • You just have to be aware that in order for the system to correctly consider seasonal addresses, they have to be 'fully functional.' That means:
    • send mail has to be checked AND seasonal checkbox has to be checked AND the seasonal dates have to be entered

    Typically, there are a LOT of seasonal addresses that have been entered missing the above so they will not work in address processing.  It's good to do a review/audit of your seasonal addresses before doing a mailing.

     
  • I have send mail checked and dates included.  I was more specifically asking that when people send me query requests what do they need to ask for in order to account for pulling seasonal addresses 
  • When we get a request for a mailing report, the requester is supposed to let us know when the mailing will be going out.  We then tweak the address processing in the export accordingly (change it to look for seasonal addresses as of whatever the mailing date is).



    If they give us the correct date and we change it in address processing, RE should do the rest.  If they change their mind once the report has been run (which we really hope they won't), then we have to re-run the export using the new info.

  • I would think it should be an organization policy or standard.  Unless there is good reason why some requests would want Seasonal and others would not.  Generally, I've found coworkers more willing to fill out request forms when they are short and sweet...

    My first recommendation is to make sure you are using either the Mail tool or the Export tool to create your mailing lists.  Query is just a grouping tool, and isn't set up to accomodate a lot of complex address options properly.



    With Mail or Export, you can use Address Processing. Address Processing is a series of steps that tell RE which address to ultimately include. For individuals, it can consider Seasonal Addresses (which do need to be "fully functional" as Gina pointed out).  Without a valid seasonal address, you can then tell the system which other addresses to consider, and if there are any specially marked addresses (using Address Attributes) that need to be used for certain mailings.
