Incorrect Add/Sal in Mail Merge Donor Acknowledgement

Options
Hi,

I am creating a donor acknowledgement letter for donors starting a monthly recurring gift.  In the word doc, I have selected the addressee and salutation fields to be part of the letter text.  Once the merge is complete, I find the system ignored the chosen salutation and addressee on the donor's record and it fails to include a spouse if the donor has one.  Is there something that I am missing here that would cause the mail merge to not fill the variable fields with the preferred options and/or ignore the spouse?

Thanks for the help!

  • Hi Matthew,

    A couple thoughts:

    1. Are your address/salutations set up to include the spouse name or do you have a primary address saluation and a couple addressee salutation.  If the latter make sure you are specifying use the couple addressee/salutation in the criteria of the merge field

    2. In the word document are you using the correct merge fields - we had an issue here of copy/paste messing up some of our merge letter templates.  To check this you want to open the word document in RE and go to the Mailings tab, uncheck Preview Results (if it is checked) so you can see the merge fields and click the down button on Insert Merge Fields to make sure it is bringing in the right merge field name

    Hope that helps...good luck!

In addition to Joanne F's suggestions - it's not just putting add/sal fields in letter but in your letter set up when selecting the field Addressee, go to options and click from config and select the format you want.  Options is an easy step to overlook.
  • I'd like to second JoAnne on this one. Took me months to figure out that one, and it's made the process so much easier now!
