How do I convert a registrant record to a guest or sponsor if they are already invitees in the event and in the registrant list

If there is list of invitees in an event, I get an error when I try to link an existing registrant as a guest. I can link an existing registrant as a sponsor by entering them in Sponsored by field, but not a guest.


We invite people who have attended the event in previous years, but then they register together, some as guests of others.


In the case of sponsors, we don't know which companies will contribute a cash sponsorship or just sponsor employees that are also on the guest list.


What's the best way to handle this?

  • we have only had two events where the invitees were imported into the event.


    I didn't print screen the error, but found a way around it by processing the guest as a non-constituent.


    I deleted the constituent in event and then linked non-constituent record to the constituent record thereby recreating the participant record, but obviously the other way around it is to load registrant into the pay registration fees window while in batch thereby linking the 2 participant records to the payment, but one is not a guest of the other they are 2 registrants.


    I would like to know if there is a better way or an acceptable way to process this that is not so complicated.
  • The error reads that the participant or registrant is already registered and it looks like he/she is since the invitees are listed in the registrant list in the event.
