Receipting Soft Credits - Children's Miracle Network Donations

We are a Children's Foundation that receives donations from entities like the Children's Miracle Network events and Costco.  We receive the checks on a quarterly basis and process them accordingly.  We don't usualy receive the list of donors  until a later date (usually at the end of the year).   Since we already processed the checks how should we handle processing the individual donors for receipting purposes?    Our gift administrator has been entering them as a new gift which is double counting. 



I'm a new user in Raiser's Edge and would appreciate hearing how other sites handle this.   Is it possible to issue a receipt on a soft credit?

  • We do issue acknowledgement letters (not tax receipts) to soft credit recipients. The tricky thing is that the gift itself cannot be marked "Acknowledged" if you want to run a receipt, so when you add the soft credit, make sure the gift is "Not Acknowledged" and when you run the acknowledgement, make sure you check "Soft Credit Gifts to Soft Credits" to pull in only those getting the soft credit. I'm assuming you issue the receipt to Children's Miracle Network when you recieve the gift, so they don't need another letter.

    The individual donor should have been receipted by Children's Miracle Network as they are a non-profit.  Not sure of details with Costco-is it donated to their foundation and then sent to you?  Either way, I don't see where you need to issue a receipt with tax deduction info. They should not be getting a second receipt for one gift.  (Exception would be if CMN is an org that give you the option to pick receipting process and your org choose to do the receipt - have run into that with a few foundations. Then you'd need to receipt, not just thank but that could still be done using SC processing options - not entering gift a second time.)



    In this case I would go back to gift record for CMN, add appropriate SC and then run an acknowledgement as Carolyn described.  It will create a letter for all records SC on the CMN gift.  You letter would thank them for their gift - could say "received on their behalf from CMN..."

    When you get list of names, I would enter as SC on the CMN gift record all those who need a receipt.  Sounds like your receipts are done through Acknowledgement in Mail vs. Receipts in Mail.  If CMN record is marked as acknowledged, change to not acknowledged and then run acknowledgement choosing option to credit SC recipients with your tax info receipt.  Do you do a letter to those not receiving charitable receipt?

    You cannot (possibly should not) send tax receipts to soft-credit donors in RE. As you pointed out, you also do not want to count the money twice. The good news is that it is likely that these donors are already receiving the information they need for their taxes. On the gifts we see from organizations that send in a single check for a list of donors, they usually state that the donors have already received their tax statement from the organization (or will). In that case, you can simply send a thank you letter to the soft credit recipients.

    LaDonna,  Just so you're aware, a number of group checks we receive are not already receipted.  We have gifts from multiple donors that give through several different foundations where we are to receipt.  Lilke Rita said they do for CMN.  Just read/check carefully and don't assume if gifts are grouped together that the foundation/check writer issued tax receipts.  Have had more recently that when we go to their website we are given option to choose if we will receipt, receipt at a certain level or have them receipt. 
  • If you cannot get a list of donors at the time the funds are received -- with a phone call, online etc., and have to wait until later in the year, then Soft Credit the individuals when you do get the list.
