duplicate bank relationships

Let me preface this by saying that I have not typically used bank relationships before.  I've been working a cleaning up data at a new job and one thing I am noticing is that when gifts are entered the bank info is put on the gift record.  I've not really worked anywhere where we have made it a point to put the bank name -- just check number and date really.  What appears to be happening is that each time, usually, a gift is made a relationship with a bank is made.  So for some constituents we can end up having a dozen relationships to Bank of America.  We don't use any of this for EFT or anything like that.  Knowledgebase was not helpful.  I would like to
  1. Know if it is even necessary to be recording this info -- like I mentioned, I have never done this before and it's never been something I wish we had recorded.
  2. How can I prevent all these duplicate relationships?
  3. How can I get rid of the dupes that are there?  They live on gift records, so I'm getting errors when I try to get rid of one.  And I don't see any way to merge.  These are not multiple table entries.

    To my knowledge, the bank info is only required when using EFT functions.  Those are the only constituents we record it for.  We do not enter it from every check received.  We only enter check # and date on check for our records (not printed on our receipts).



    So, I've never tried to delete them.  When you try to delete them are you on gift record or relationship tab?  Maybe from gift record?  Doubt they can be merged.



    When gifts are entered user should have the option of drop down in bank field for existing bank relationships and accounts.  If they use that it should prevent more duplication I would think.



    Personally, if your date is compromised, hackers getting access to bank account info can be just as bad as credit card info. I don't know any realreason to store that info.  To run any EFTs, we require an authorization form.  We can't run just because we have their bank info.

  • I agree with JoAnn--I've never used it because it's not at all relevant and just one more thing to remember. Especially if it's making your life harder. In fact, we have it hidden so maybe that's an option once you get things cleaned up.
  • We have just started doing Direct Debit.  This function uses the Bank Relationship.  When processing Direct Debits through NetCommunity it requires me to add the bank on the relationship.  If the donor includes a branch then it adds an additional record.  After the gift is in the batch, I can go to the bank relationship and and change it to the correct one that we already have on file with out the Branch included.  Once it is changed off the gift record, I can then go to the bank list and delete the unwanted Bank. But first it needs to have all gift links cleard from that bank record.



    Other than Direct Debit's we do not enter any bank on the relationship tabs.

    Whew... it's taking this thread in a little different direction but whew!  We do process direct debits using IATS.  We don't have Net Community but that just doesn't sound right.  Candy, as you said you've just started doing direct debit, are you sure your records are set up correctly?  That sounds like a lot of extra messing around for a process that should be more automated.  Just seems like it should work smoother than that.
  • So the gist is, I don't need it and it's just cluttering up my relationships.  Like I thought.  Now how do I clean it up...  Delete from gifts first.  But can I globally delete the relationship?  Oh woe is me...

    I would
    check with support.  Don’t know if it even could be done
    globally but would want to be sure it wouldn’t affect any gift
    records.  Am thinking you may not be able to globally delete
    as it will delete all the bank relationships.  Some global
    changes/deletes don’t work as desired.  There was a recent
    post about what global changes/deletes could/couldn’t be
    done.

  • Yes, I know there is a lot to look in to.  But this is a real mess.  I have constituents with 22 relationships and 20 of them are banks!  The SAME bank!  I will test on a dummy first.  I'll let you know how it goes.
  • Well, it appears that you cannot delete bank relationships.  Looks like it is a known bug
