tracking online gifts

Options

Hi All,

We currently accept online credit card gifts via our website.  I enter the gifts with the pay method of "credit card."

Well, now I am being asked to track which "credit cards" are from the machine in the office and which are from the website.

Is anyone else tracking this?  Any thoughts?  I am thinking of setting up the gift subtype of "online" for these gifts.  Is this a good idea?

Thanks,

Shawn Murray

Gift sub-type is exactly what we use to track this.  We actually have two gift sub-types: Online - cash; online pay-cash so it can tie right into the correct GL in FE.   (Our ones run through RE have no gift sub-type entered.)

    Hi JoAnn,

Thanks for your help!  I think that is what I will do also.

Gift subtypes are the magic that drives the integration between RE and FE. Combined with funds and gift types they are used to define the debits and credits for each posted gift If your RE is NOT integrated with FE then no worries using gift subtypes this way. If you are integrated with FE then it still may be ok but check with your finance team Do you know why this needs to be tracked? My hunch is that it is about reconciling a bank account. Credit card receipts are tough to reconcile to a bank statement. If that is the case then I can share some processes we've implemented to make that easier.

    Hi Shawn,

We also receive credit card donations both online and through our office. Because the online ones are through NetCommunity (and now Online Express), we use the "Net Community Gift" check box on the Miscellaneous Tab of the gift record to mark that it is from online. That check box corresponds with the Online vs Offline Giving reports in Financial Reports

Have you thought about using a gift code? This is how we track the ways in which we receive credit card donations. Currently we have 3 gift codes - one for gifts on our website, one for gifts on an external partner website, and one for gifts we receive in the mail - all 3 of which are credit cards. This also allows us to easily pull numbers and percentages when the higher ups ask what percentage of credit cards last year came through X, Y, or Z.

    Hi, Shawn!

As Mary mentioned, because the combination of fund/gift type/gift subtype (if one is being used) are used to define the debit account numbers and credit account numbers for each posted gift in The Financial Edge, we will first want to verify with our finance team that using gift subtypes will not affect anything on their end.  Another option for tracking whether a gift with a pay method of Credit Card was processed in-house or online is using gift attributes. You could name the attribute to your liking and use the data type Table for your description.  In your table, you could include the table entries "Office" and "Online."

For a step-by-step guide regarding how to create a new gift attribute, visit https://www.blackbaud.com/kb/index?page=content&id=BB515.

Thank you and enjoy your day :)
