Best way to record primary contact in organisation record

Options
Hi there, I'm pulling of some Organisation data for a mailing, and as far as I'm aware, I can only pull of the name of the organisation. I'm just wondering where the best place is to record the Primary contact for the organisation, so we can write to (for example) Joe Bloggs, Manager, Topshop - as opposed to just writing to 'The Manager'. Can anyone give me any advice on this? At the moment, I'm thinking it should sit in Aliases, but would be good to see what others are doing. Thanks!

     Hi Jo!

You should be able to put Joe Bloggs in as a relationship contact (no constituent record necessary). You can pull these relationships. Giving each person a "contact type" helps you target the correct contact at each company for different mailings - or, you can list attributes within each contact.

    Jo,

Did the previous post give you all the info you need.  Contacts go on org record as individual relationships.  On general tab 1 you check contact box and can put type of primary. On general tab 2 you can put in your addressee/salutations so that when you do a mailing it can pull "Mr. Joe Bloggs" or "Joe Bloggs" etc.  Sounds like your new to RE - once you have a handle on it, I'd recommend a default set of add/sal that you can auto pull instead of entering each add/sal manually.  If you want to pull position of Manager, enter that in position field on General 1 and check box 'print?'.

In mail, on the organization tab you have options to include contacts, select what type etc.

No, do not use aliases.  That is not the right field at all and you will have difficulty down the road if you start using that field for contacts.

Putting Joe Blogg as primary contact for Topshop as RE is designed will also allow you to find records more easily if you go to open a constituent and can't remember name of business or want to see business that Blogg is with.  If you search for Blogg, it will pull Topshop in your result list.

Great - thanks both! This is really useful to know, so much appreciated. Yes, I'm new to RE so still working a few things out - great to have the forum though! Jo
