Combining existing funds

We are in the process of cleaning up our historical data, and need to combine several funds, so that all gifts are grouped under one fund name, including previous gifts. Suggestions on the best way to do this?

    I'm guessing you're talking more than just a few gifts that need to be changed.  When you say 'historical data' can I assume gifts that are posted from past years, that the financial books/audit is complete and that your finance department is involved /aware of these changes?

    I can't get in RE right now to verify it, but my first suggestion would be to do an export of these gifts, make the needed changes and then import back into RE.  I would also add a note in the import on the gift records with original info and why being changed.  I think you can import that field, but as I said we're having issues today and I can't get in RE to verify it.

    Hello Shannon,

    If I understand correctly you would like to merge funds in your database. There isn't a specific merge function for this though we do have a knowledgebase solution that steps through what we recommend be done when manually merging the information.

    I would recommend having a recent working backup before going through this process.

  • With the gift unpost utility you can simply unpost those gifts, globally change the fund name and then mark them posted again.


    However, if the "account code" for these funds are not the same, it will skew all previous reporting and you will never be able to run a report that will match to your financials again.  Chaning fund names requires much thought and communication with your Finance people.  You can change almost anything but the gl post date, gift subtype and the fund name and not mess with Financials.  We are not allowed to change the gift type in RE so that is not a concern.
