Participant Communication Schedule

Options

Hi,

I'm setting up a TeamRaiser for an actual run/walk event and am wondering if anyone can shed light on a participant communication schedule. Normally I've only used this platform for virtual events, within a shoter timeframe, so am wondering how best to email my list to encourage both registration/participation and also fundraising throughout the 3-month lead up to the event. If anyone has any advice or timelines to share, I'd appreciate it!

Sincerely,

Christine

  • Hi Christine,

This is such a great question - I'm anxious to hear what others have to say.  In my experience, the frequency and length of communications will vary depending on the type of event you're producing.  For instance, a three day walk or cycle event can and should communicate weekly since participants are likely training for their event and working to reach a fundraising minimum.  Walks and runs, on the other hand, may just focus on sending fundraising tips every few weeks.  If you can let us know more about your event, I can let you know what's typical for similar events.

    Thanks,

    Noel

    Hi Noel,

Thanks for your quick response! Our event is a 5k/10k run or walk and will also include a shorter kids 'fun run'. So there won't be a ton of training involved but we want to stimulate registration at the beginning to the overall list and then stimulate fundraising throughout to a segmented list of those who have registered. If you've got any examples for this kind of event, I'd love to hear them!

Great discussion and god point, Noel!

I have attached a document I created for the last Convio Summit.  Communications is covered starting on page 10.

There isn't a one-size fits all, but there are a few very simple communication calendars that may get the juices flowing.
