billing info overriding participant registration in Teamraiser

Options

I have seen an issue a few times now with a mother trying to register and pay for her child but not register herself.



For example, Mrs. Jane Doe tried to register and pay for her son Johnny to participate in our Run for Mercy 5K. She did not want to participate in the TeamRaiser event herself, she just wanted to pay for his registration.



She entered his name/info for the registration/contact info portion, but when she entered her name/info for billing, that was the name that actually got registered. I had to go in on the back end and change the participant constituent info to the son's name.



Is this a bug or have I got something set up incorrectly? Or is she maybe logged in and it's forcing her info because of that?



In other words, we want to make sure that participant registration info and billing info can be different.  Is anyone else having a problem with this?

    Hi Tracy,

     

    I think this may be a default of the system to register the participant based on the billing info. The only way I know how to avoid this would be to have the parent register and have them register the child as an additional participant and then pay for all of them. I think what the system is doing is seeing the event registration and then thinking the payment info is updated info so it overrides the reg info. Let me ask someone who is more familiar with TR if they can provide any feedback.

    I do have that box checked.  It is allowing someone to register and then do a secondary registration and pay for both in one payment and have them both show as participants.  The issue I have had twice now is where the parent does NOT want to register themselves, they only want to register and pay for their child.  They put in Little Johnny's name, address, etc. choose a t-shirt size and age group, but then for billing, they are putting their own info because it's their credit card.  Then when they complete the transaction, Johnny no longer shows as the person registered, it will show the parent's name from billing info instead.

     

    I think what you said earlier is probably the case - the parent is putting in their own email for Little Johnny and so it's assuming the parent record instead of creating a new constituent?  It wouldn't be seeing it as an update to the record or it would put little Johnny's name in there as a replacement for the pre-existing parent name with that email - right?

    I found out there is a site option that makes it so you can have the billing data be the registration data. This is typcially set to FALSE by default but I checked your site and this has been changed to TRUE, which is causing your issue. Can you think of any problem it would cause to change it back to FALSE? If not, I can change that for you.

    Is this option only visible to Convio Support? This sounds very similar to a situation we have with one adult paying for the registration of another.

    Ah, nevermind. CONS_UPDATE_WITH_BILLING_DATA is a global option, and we don't want to affect Donations.

     

    This is really frustrating that TeamRaiser doesn't provide this feature.

    The reason we had this parameter enabled was that when I was testing in the sandbox, I noticed that when a constituent provided a new address online (but had the same name, email, etc.), the donor was matching to the existing contact record due to name and email being a match, but the address was not updating with the new information. That is when I dug into these parameters and support suggested I set both of these to true. So when we upgraded, we had both of the parameters I referenced below set to true - solely to capture the address updates.

     

    Since this is causing an issue, I think we should set both parameters back to false. However, when researching this issue, I did also note this possible alternate solution to capture address updates:

     

    We can add the mailing address fields to the donation form (currently we only ask for billing address.)

     

    Perhaps we could even have a checkbox that states check here if billing address is the same as mailing address?

     

    Otherwise, we are not catching donors who update their addresses because we are only asking for billing information and not the regular mailing address fields.

     

    What are your thoughts?  I don't like asking people to enter their address twice.  Is there a way to "check a box" stating that billing is the same as mailing?

    The ability to add a mailing address on the payment form might mitigate our issue -- we have a situation whereby one person is paying for another person's TR registration. That screws up things -- since that SDP is set to TRUE, we have constituent data being overwritten by the credit card owner, not the rider. Not cool, and I'm not sure of a way out of this.

    I definitey understand the issue of not wanting to add additional fields to a form. You do have the ability to add a checkbox in your donation form setup that is a "Donor Information same as Billing Information" config. You just have to add it to your data elements for your form. One thing I don't know though is if this checkbox is available but there is not a "donor mailing address" field in the form, if it will add the billing info to the mailing info fields in the constituent's record. 

     

    But you can add a checkbox to your forms.

    I think we will solve this way.  Let me get back to Amanda before I ask you to change anything.  My understanding is that if we ask for both mailing info and billing info on our donation forms and include the option to check a box to indicate they are the same, then we can change this parameter and Teamraiser people will then be able to register someone else and not themselves and pay for it without their billing info overriding the participant info.

     

    Is that right?
