Transcript and Report Card access issues due to requiring that grade plan naming conventions be identical to utilize new builders.

When using the new builders, it is required that any grade plan grade that need to display beneath a single column have not only the same grade plan grade naming convention (Ex: Final Grade), but also the same grade plan naming convention (Ex: Grades).

This is a significant change for schools that are used to selecting whatever grade plan grade they want from any grade plan group in the old builders. However, what's most unfortunate, is that report card/transcript access is set by grade plan. So, having a generic grade plan naming convention limits the ability to differentiate access dates for Final Grade in S1 vs. Final Grade in S2. Schools, especially those that grant access to a mid-year transcript, are very likely publishing their final grades prematurely at the end of the year.

If a school were to remember to remove access to the transcript in the current year prior to being ready to publish grades, this results in the Final Grade being removed for not only the current year, but also for all prior years as well. This is regardless of access dates being set for the final grade in prior years.

Furthermore, removing access in all prior years, then adding access to the final grade in just the current year will grant access to the current year grades as well as all prior years, even if you haven’t set prior year’s access.

There are so many great features with the new builders, but this issue is preventing schools from making the switch over and has also resulted in some schools reverting to the old builders.

I strongly believe that the access date issues, especially the first one mentioned that results in grades being prematurely published, be considered a product bug and should be addressed immediately vs. an "enhancement" request that has collectively gained 160 votes over multiple years. We need control of access dates for grade plans that is both school year and term specific. This is crucial and should not be considered an enhancement request.

    I think that's likely the case with a lot of school! 63 schools filled out a poll that was sent out to the Registrars group in November 2024 and the results were interesting. I am sure a lot of it has to do with the grading changes required, as well as the access issues.

    I know ? It's going to be an even bigger issue than it already is now for a lot of schools if it's not fixed by the end of the school year, when year end final grades are pre-maturely published ?
