A few questions regarding responsibilities...

A few questions regarding responsibilities:

Who builds out the donation form? Is this part of Convio deliverable?

Also same for autoresponders. Who does these?

Who actually sends the mailouts? Is this set up on a schedule by Convio or to be send by client as they choose.

Regarding mailouts, how is the email group managed (ie how are donors excluded as they donate), is this managed through a group updated by query?

Who sets this up and what is the consideration for offline gifts that might come?

  • Hi Greg,

Thanks for checking in on roles & responsibilities as December approaches! We're going to cover exacty these kinds of questions in more detail on November 11th, but I want to make sure you have the gist of it right now so that you can plan accordingly for your EOY campaign.

The answers I'm about to provide don't apply to Union Rescue Mission (they've opted to build everything themselves and in a sense are "auditing" the Booster Shot program), but do apply to everyone else:

Who builds out the donation form? Is this part of Convio deliverable? Also same for autoresponders. Who does these?

Convio will build the donation form based on your current general giving form, but will modify the giving levels, pitch text, autoresponder, etc. to match the content you submit with your EOY Fundraising Guide. We'll be providing you with a link to the form to test and provide feedback as part of the process of launching the campaign. If you would rather we use a specific form other than your general giving form (e.g. last year's EOY donation form) as the basis for our initial setup, please indicate that along with any other special instructions in the guide you submit.

Who actually sends the mailouts? Is this set up on a schedule by Convio or to be send by client as they choose.

Convio will set up the target audiences and schedule the actual deliveries as part of the process of working with you to launch the campaign. If you prefer, we can do all the setup and then leave it to you to actually hit the "send" button, but I can imagine most of the participants in the program will appreciate having one less "to-do" item to keep track of themselves during the hectic holidays.

Regarding mailouts, how is the email group managed (ie how are donors excluded as they donate), is this managed through a group updated by query?

Yes - donors are excluded based on a query which identifies individuals who have donated online within the past 30 days. If you have an RE datasync or otherwise are maintaining the value of the "external_last_gift_date" field in your database as current and accurate of your constituents' offline giving histories, please indicate that in the special instructions section of your EOY Fundraising Guide. We can adjust the query accordingly so that donors are excluded from additional appeals independent of the channel where they gave.

Who sets this up and what is the consideration for offline gifts that might come?

If you don't have a data sync or aren't otherwise maintaining the "external_last_gift_date" field as current in your Cons360 database in Convio, you can alternatively create a suppression group that should not receive EOY solicitation messages and manually add constituents to this group as you receive offline gifts. Just indicate that you've created a supression group and provide the name of the group in your EOY Fundraising Guide.

Great questions! We'll be walking through the guide together on the 11th and can go into any of these and others in more detail during the call.

Greg, I am so grateful that you asked those (and that Patrick took the time to answer so comprehensively). I was about to post something about the donation form landing pages and this saved me some work.

These are great questions. Sorry I did not get a chance to read these before I posted mine today. Some of them are the same, but others are different.
