Updating Gift Type Tables

Options

I am looking for a way to easily report “restricted” or “unrestricted” in a system that was previously not set up to report on this easily. If I update our Gift Type and Gift Category table options, will this retrodate or will the change only show in gifts added after the change?

@Megan Leap - Unfortunately the Gift Type table is locked; meaning you cannot change the options. Rather than creating a new process I recommend utilizing fields that already exist for this. Depending on your Fund Structure - I recommend utilizing the “Is Fund Restricted” check box directly on the Fund Record.

This is what this looks like in WV

From a reporting stand-point, within a gift query - this is an available field to utilize in the criteria.

  • @Megan Leap You can also group Funds into a Fund query for all Restricted or Unrestricted and then link the query to reports, exports, etc.

I do this often for clients who have specific Fund groupings so that the groupings are consistently done across all of RE.

@Megan Leap as usual, Austen and Christine have given sound advice.

I do want to mention that the “Restricted” checkbox is merely a checkbox though, with no special functionality whatsoever. If you need to see a list of gifts and which are restricted and which are not, you will need to include that checkbox as an output field, which may or may not be available depending on what you use to report.

Another method I've seen is for organizations to use R at the beginning of the Fund ID and / or “Restricted” at the beginning of the Fund description. This can be done without using the checkbox, but I would recommend using both. I don't love using it as part of the description because it can become long, and Fund Descriptions are often output fields in acknowledgement letters.

Just wanted to offer another option!
