Interest Opt-in group refresh rate

I'm looking for some clarity on how often opt-in interest groups are updated. New email signups from yesterday and the day before were not appearing in the appropriate interest group this morning until I clicked ‘Refresh Summary.’ We have an email going out later today using this group as the audience. Will the group auto-refresh just before delivery? We had a social media call to sign up for this email and we want to make sure we catch everyone who signs up before the email delivers.

  • Nevermind. I finally found my answer in the Confirmation section (new editor) of the draft message to be sent, where it showed the groups selected for the audience with a note “Rebuild on Send”.

    Ugh, I could not find that information anywhere else. Classic editor, the group summary page, Help. I didn't build the email, so ordinarily, that is not a place I would be. But when the email creator asks me (as the primary Luminate admin), I'm the one that has to find the answer.

    Thank you so much for posting this! I read and re-read your question and realized, I don't know either. So I just reached out to our wonderful developers to get the answer.

    Here is the answer I was given:

    By default, email interest opt-in/out groups are never rebuilt. Instead, constituent records are put into the appropriate groups when they opt in/out of interests. Since constituents are put into the groups in real time, the groups almost never need to be rebuilt. So these dates you are seeing are completely accurate.

    If you notice that the group is not populating, your local settings may be preventing the task from running. Here is how you can run and activate the task manually:

    1. Select Data Management > Tasks
    2. Search for the task associated with the interest group (usually has the same name as the interest)
    3. To run the task immediately, click Run. If you do not want to run the task immediately, skip to Step 4
    4. To have the task run on its recurring schedule, click Activate
    5. Once the task runs, the associated interest group will reflect new members

    Please note that once the task runs, you may need to manually refresh the group information summary to see the updated group member statistics.

    This is a great catch for an opportunity to improve in the help docs. I'm adding this to our to-do list.
