Attachments

Good afternoon everyone! I used RE Database View my entire career and am now learning RE NXT. I am finding challenges with the online training being offered. One question I have is entering attachments in NXT. I know it doesn't show in RE Database View. My question is, if I enter an attachment separately, I can't seem to “grab” it for an Opportunity. If I create an Opportunity first and then attach the attachment within the Opportunity, I don't see it on the main Attachment box. If I add an Action, same thing. Is it expected that we are going to add an Attachment of the same thing three times?

I agree with Joe. There are several articles in KnowledgeBase that instruct us to enter attachments in Database View and not Web view (NXT). The Database is the one being backed up. Additions or edits made in RENXT are not backed up to the database and if you have to reload the database those additions or edits you made in RENXT will not exist.

  • @Joe Moretti another question if I may. Do you recommend actually imbedding a file or link? At my previous institution we used PaperSave due to degradation over time of documents. Also, if a link is added, I'm assuming that if the file is moved then the link is broken and it needs to be re-entered. Thank you!

  • @Lynda Buhlig I have never done links, I just uploaded the attachments. There could be issues with the link, if that information is moved somewhere else.

  • @Lynda Buhlig, chiming in with the others who recommend sticking with database view for attachments. In addition to not being backed up/edits not being saved, in webview there is also no way to query the attachments. It is literally impossible to pull a list of “donors who have attachments named 'Annuity Contract'", or “donors given new attachments in the past 30 days”, as you can do in database view, for example. Nobody else (including the database manager) has any way of tracking that you have uploaded anything unless they stumble upon the donor record by chance.
