The Boston Latin School Association (BLSA) seeks a new member for its collaborative and diverse team whose mission is to raise funds to support the nation’s oldest public school and to create community among its constituents. Reporting to the Senior Director of Development, the Database Manager plays a vital role in helping the organization to achieve its mission by ensuring our data is the foundation of our fundraising success. Responsibilities include processing gifts, coordinating acknowledgment letters, database maintenance, and other services with the highest level of accuracy related to the management of donor information. After an initial in-office training, the role offers a hybrid work schedule with generally 60% of hours in the office working with colleagues.

DUTIES & RESPONSIBILITIES

Gift Processing

  • Ensure a positive donor experience through accurate and timely processing of all constituent and gift information into the Raiser’s Edge, our CRM database.
  • Communicate with donors and staff when necessary to confirm donor intent or update donor information.
  • Work closely with the finance team to ensure donation and accounting accuracy.
  • Communicate with matching gift companies when necessary to retrieve gifts, make inquiries, complete documentation, and resolve issues.
  • Assist with the pledge fulfillment process, including generating reminders.
  • Accurately prepare all gift acknowledgment letters and tribute notifications, identifying opportunities for personalization.

Database Management

  • Establish a streamlined database architecture and outline a clean-up plan that will ensure data integrity and accurate reporting.
  • Create a data manual/guide to ensure consistent and clean data entry and use for all database users.
  • Perform regular database maintenance, including standardizing, monitoring, and other general constituent and donor record clean-up.
  • Remain current on best practices in database administration.
  • Prepare weekly and monthly Giving Reports
  • Develop accurate and timely deliverables for mailing and e-mail lists.

Other Duties

  • Participate in Association events as needed (includes some night and weekend events)
  • Remain flexible and strategic with the changes in transaction volume, office needs, and shifting priorities.

Qualifications and Experience

  • Well-organized and able to work independently and accurately with high attention to detail
  • Able to handle multiple projects accurately with a high level of productivity
  • 3+ years of experience using a CRM database preferred
  • Proficiency with Microsoft Office required
  • Able to work with and process information in an analytical fashion
  • Proactive mindset with a goal to continuously improve processes
  • Demonstrated ability to work collaboratively as part of a team, in office and remote
  • Demonstrated ability to use good judgment and to handle confidential information with a level of sensitivity
