Online Event Registration form needs to feed Event name to the Gift Management batch details

Options

Currently when a constituent uses the online registration form to pay a registration fee for an event, the event name does not carry forward to the batch details in Gift Management. Please modify to include.

  • @Debbie Jones We've run into this issue also. We have started keeping a spreadsheet of events and the amounts due, so that when someone pays we know where to allocate those funds. I think the issue lies with the integration between Event registration (or lack thereof) and BBMS, not between Event Registration and Gift Management.

  • @Debbie Jones @Tara Cain We came up with a workaround that I think might be helpful for you all. For each event, we set up a separate campaign that I title with the event date and title (i.e. 100222HS - High School Mission Trip 2022) that way on all the reports, I can sort by the campaign, and if someone in accounting needs to look at the event registration, the date is already listed in the campaign information. And if it is an event with multiple payments (where you make a deposit, and then a first and second payment) then we use the donation form, set up the appeal like we would set up the campaign, and then just attach the gifts to the event registration. Completely cleared up all of the duplicate registration issues we were having.

  • @Jennifer Dever Thanks for this! We'll explore this for our org. We're not so much having an issue with dupe registrations as with dupe records. It doesn't sound as if this solution would address that issue, but maybe I misunderstood. Basically, when some people register for an event, They enter info that is just slightly different enough to not match their existing record--thereby creating a dupe. Any thoughts on resolving that? The duplicate records are really becoming a problem for us.

If Blackbaud even had a way to automatically flag new constituent-created records for review (similar to portal activity), that would be a big help.

  • @Tara Cain The creation of duplicates through online registration has been an issue since online registration has been available in Church Management. Blackbaud is aware of the issue. There have been numerous ideas and community posts, but unfortunately, I have seen very little improvement over the years.

One of the issues that we suffer the most is when, for instance, a mom registers her kids for VBS, Church Management recognizes the mom if she puts in matching information, but her kids are duplicated in Church Management. That leaves us with 100's of records to cleanup.

I don't mean to hijack the original post, but duplicates in online registration is still a very frustrating issue!

  • @Josh Heath Thanks for this. We are also encountering the same issues with duplicated kids. I suspect (but don't know for certain) that it has something to do with the fact that the kids are not registering for themselves. We have run into this with spouses of registrants also. We've tried to create a form that asks people to enter each name in a separate field, but not everyone honors that request.
