Past Due Pledge Report and Automation

We are working on our past due pledges and trying to find the best way to automate a notification to the fundraiser if their donor has a past due pledge. Has anyone tried this or have any recommendations?

  • Do your fundraisers send the pledge reminders? At my org, the fundraisers do not have that responsibility. It falls on me as the database admin to invoice. Because in past years, the installments were not entered, I cannot use the “overdue pledge” in NXT. Every month, after I reconcile financially, I pull the entire outstanding pledge report. From there, I review and process invoices for any that are due. I have an invoice template that I use, so if there are a lot that are for one event for example, I mail merge off of the template. Unfortunately, I have a lot of unique circumstances for some donors, so I do have to do their invoices manually. Some have upwards of 4 different funds that they give to, or they request quarterly or bi monthly invoices, so I'm careful to send when needed for those unique circumstances.

    If your gift installments are correctly entered, and you have NXT, you can simply use the “overdue pledge” tag in NXT!

  • Beth, yes, we go through the same thing so automating this is more challenging than we would like as we don't want errors in this process. We started with the tag and noticed since our installments aren't perfect that this won't work as well.
