Receipt amount in gift record keeps changing

Options

Hello! I am wondering if anyone is having this issue. We process gifts using RE Batch. The receipt amount in the batch is fine. Sometimes, not all, the gift will post to the record (NOT FE Posting) with a $0 value. Today, I found that gifts posted (NOT FE) in prior months (AUGUST and SEPTEMBER) now show a $0 receipt amount yet my gift files from AUG and SEP are correct! I cannot find any indication of why this is happening. We rely on the receipt amount field to report the actual giving per CASE. Help!

  • Hello Tracy, I know for our organization, putting in any benefits tied to the gift can/may wipe out the receipt amount, but we first get a pop-up dialog box that asks--not sure if this helps, but just a suggestion in case. For us, benefits are typically items ordered that we enter in an itemized fashion and all related to whether or not they are tax deductible, rather than just straight donations. Hope this makes sense! We are a faith-based/religious non-profit and I know organizations greatly vary. And now that I read your post again, I see that you are referring to batches, and so that would be different, but maybe can be tweaked in a template set-up for instance.

Is there anything that these gifts have in common? Like Mara stated, if the gifts had any benefits, that could negate the gift, but you should know if that were the case. If the gifts are being entered via batch, maybe there is some connection to the gifts.

  • Nothing that I can see. It seems to happen to gifts that do not receive benefits. When in batch, if quid pro quo is relevant, we adjust the receipt amount accordingly. For these, there is no need to touch the field. This means the gift amount should be reflected in the receipt amount. It doesn't happen to every gift in the batch, only some. And, it can happen months later! I found three today that were added in August. They were fine in September. When I pulled the data today, the receipt amount was $0. All three did say they were last changed on 10/25.

    Those RE gremlins...

Could you see who made the changes? Is there any reason someone in your office would have changed the amounts?

I would definitely keep some hard copies of reports that show the changes and contact support.
  • I believe I have found what is causing this. Happy to share if anyone is interested.
