Prospect Manager Scorecard report

We are wondering how other organizations track prospects in a particular (prospect status) during a time frame? We find this challenging because the prospect status does not have a date field. So, if a prospect moved from Cultivation to stewardship prospect status during the month of July 2017, how can i count the number of prospects in Cultivation phase during the month of July? How do other organizations handle this? We are hosted so we don’t have access to the database.

  • We haven't figured this out yet but I've seen this discussed before and some orgs use Actions and create some kind of report or Excel to figure out the time spent in prospect status.  We don't have NXT but I think there is some built in functionality for this.
  • Josh is right, there is an NXT feature for this.  I don't know that you can report out on that data (yet), but you can see when the Status changed on the Constituent Record, how long they were at each Status, who made the change, and any comments added when the Status was changed.  The DBA can enter a timeframe for each Status, and when a Constituent has been in a Status for more than that timeframe, an alert will appear at the top of the record (and I think in the Work Center).

    No, you still cannot extract any data related to Prospect Status, dates or comments. Those functions are built exclusively in webview so they do not write back to database view in any way. I don't believe those fields are available in webview's report builder either - possibly if you have insight designer, but I'm not sure.

    @Alexandra Blasy while you can see how long someone was in a status, in terms of reporting on that time the solution @Joshua Bekerman bCLO bCRE suggested is probably the best bet.

    We have also built out a process like this using Power Automate and Power BI. Here is my post on that process.

  • Hi @Priscilla Jayaprakash for a while I was using Actions to track status moves, but that was a cumbersome process. NXT allows for a date and a comment, but you can't pull that out via web- or database-view. Eventually, I created an Excel spreadsheet for our 10-15 frontline officers and would do exports of statuses to look for changes, then manually add dates in. It was deemed “essential” for the reviews - so it took time and effort. UGH!
