How to mass stop fundraisers but not delete them entirely?

So we are revamping our portfolios on Raiser's Edge. Our new Leadership team wants to start from scratch however they do not want to remove former fundraisers from people's constituent page (thus removing the option to hitting “Stop Assignment” on their own page).

I know I can go in by hand and insert a stop date but that would take a lot of hours to get through our database. Is there a way to add a global end date for all of our fundraisers so we don't lose the historical data of who that person was communicating with in the past?

  • Just a thought, but you should be able to remove the former Fundraisers without losing historical data, as that data is already contained in the Actions, Notes, and Proposals (if you have the Prospect module) that were done by the former Fundraiser. Any good MGO should be looking at the past Actions in a donor's record anyway, before reaching out to introduce him/herself. And, you can always pull a list on “Constituents with an Action before [date] assigned to fundraiser Bob” if you want to query them.

    If you wish to keep them there, then to Global Change them all at once, you will need to:

    • pull a constituent query of all donors who have an assigned solicitor (Relationships - assigned solicitors – last name = not blank).
    • in Admin, use a Constituent global change
    • Under “Assigned Solicitor Relationships”, add a “date to”. Do not overwrite existing values.

    If you've not done this now, I would test marking the solicitor inactive. That adds an end date to their existing relationships. Then, I believe you could re-activate them and start again. Test it first. :)

  • You can import a stop date. Also mark the solicitor as inactive. We had some issues with those still showing up on queries and reports, so I also created a solicitor/fundraiser type of “Former Fundraiser” and updated the type field for those fundraisers. That seemed to solve the problem.

  • And yes, you can also add the “Date To” for the fundraiser/assigned solicitor using Global Change.
