Deleting User Groups

Options

Can someone tell me how I can delete a user group?  We have just started using Convio and in testing, we created three groups for the same event and need to delete two of them.

  • If you click "Edit" on the group in question from Constituent360 -> Groups, you should see a "Delete" button at the bottom of the page. Note that there are some groups one cannot delete, specifically those automatically created by the Convio system.

    I don't see a delete button, when I click on edit on the group that I want to delete from the Groups List in Constituent 360, this is what I see:

    You are not able to delete this group because it is a group automatically created by the Convio system (in this case, an Event Attendees group), not a group your organization created.

    I actually created this group myself, not Convio but are you saying that because the group is of event attendees that it can't be deleted??

    That's correct. Groups in the Event Attendees group type cannot be deleted.

    Is there a "best practice policy" in Convio on deleting groups, how many we should keep & which ones we should delete. If you use one uploaded group for an in May of one year & write a similar email the next year - would it be best to just rebuild that May group or make a new one. I've been looking for any good documentation on any information on this.

    I don't know that there's a best practice exactly, but in the specific situation you're describing, I see no reason to maintain a group year-round if it's only purpose is targeting a once annual Email message. The one big downside to not getting rid of groups you don't need is that all the places in the UI where you select a group become somewhat unwieldy. So my recommendation would be to only keep groups that you intend to continually use for segmentation, conditionalization, or reporting. There's really no argument for keeping one-off groups otherwise.
