Workflow Designer

Options
As my team was learning about the Workflow Designer (we're VERY excited about it) one of them accidentally clicked on the button to add to 150 records.  We had created the Workflow with several steps.  Does anyone know how to remove the workflows from a group of records?

    You can probably fix that in the RE database view by globally deleting the actions from the records. If I were you (and I might test this myself) I would create a new workflow using a list that just has one record in it and test it with that first. I added a custom field called "test list" that I only put on my record for this purpose. Then I can add anything I want to it and see how it all works. 


    Making any global changes and importing still just happens in the database view, but the actions that you added through the workflow process in the web view can be edited or deleted in the database view.

  • Just starting out with workflow.  Tried a test of 2 steps attched to a list of 24 constituents and it activated the entire database of 58,000!  What did I do wrong?  And how do you delete a workflow and not just inactivate it?

    Susan, I would contact support on this. Not sure there is an option to delete. I'd ask about it as soon as you can in case you feel you need to revert to a backup before more things are added/changed.


    Please post any info you get from support for those of us who may find ourselves in same situtation.

    for a back up.  Gradually doing global delete of affected
    action in constituents in batches.  Been answering other
    issues all day...typical Monday.  Just a very weird
    scenario.  There does not seem to be a delete just
    deactivate.  Unfortunate.  I will post what I find
    out.

  • what I found out from support is that I used a dynamic list, not a static one, and that probably caused the problem.  But when I set up the workflow and used the list feature, it showed dynamic lists fro me to choose from including the one I wanted.  It activated the workflow with that list with no error.  Instead of aplying the workflow to the 24 individuals in the list it applied it to the whole database of >58,000.  I could not stop or cancel it during the activation.  I globally deleted the actions from database view in batches, for time and safety.  I confirmed with support that Workflows can't be deleted either in activated or draft state.  They can't be modified after activated, just copied. All the resulting action records show up in database view, and are still active even after the workflow is deactivated, though the flow is not.    Certainly can't create on the fly and test with no preplanning, otherwise you soon end up with a lot of archived workflows.  Too bad they could not connect this with action tracks.  I think right now it is a bit limited and takes a lot of care to use.  Unforgving learning curve.  But I still have to use it for our new major giving program. So any help or suggestions appreciated.

    Eeeewww... Sounds like they need to keep working on developing some options for removing Workflows.Had the impression from hearing about it in some webinars that it still is a work in progress.


    We have been looking at implementing Workflow tools.  Will definitely use even more caution and probably hold off for now.
  • I would agree it is a work in progress.  I wish I could use action tracks for now, but since they do not translate over to webview, I am told, I'm stuck.  Fundraising staff will only use webview.  Plus new admin that will be processing some of the actions, currently no experience.  Lot of pressure to get something to work well and simply.
