Archived data in RE

Has anyone ever archived any data from Raisers Edge? i.e. we have some records with data in the Notes and actions tab, going back to the 1970's much of it imported to Re from older data systems in place back at that time.

  • Just to add, we definitely don't want to remove records in this case, just very old data cluttering up pages and pages of RE Notes and Actions.

  • Yes, we moved old data into an archive on our cloud in 2018-19. We were at almost 99,000 records in RE and didn't want to hit the limit of 100,000 records whereupon a new pricing kicks in with RE:NXT. :-(


    We used a query of anyone who made 1 gift before the year 2000 and had never returned. We found about 20,000 records! The archival process took a long long time as we wanted to be careful about who was moved.

    Yes, I have archived notes, attributes, and actions. Particularly the ones that make you go - hmmm what the heck did that mean. No one left on campus has any clue.


    I just build an export (usually not with Import because I want names not just ids in this) with the constituent id along with any other import ids for the area and any other info I would need to import the information back in should we come across some paperwork and be like oh that is what DRTSKQ means! I do want to keep old history as it tells a story of how connected someone is to our organization - but if it is meaningless - well no.


    I save them all in the .csv files in the same place with a name that tells me what the heck it is and that location is backup nightly, monthly, yearly, etc. so I know it can be recovered.
