OLX - Events - How do you limit the number of each Price Type sold?

Options
Hello - I am creating my first event and we have several "price types" that we are selling.

These are tickets to different local attractions. We have a set amount of each type of ticket/Price Type.  (i.e. We are selling 20 of Price Type A, 30 of Price Type B, etc.)

Blackbaud tells me there isn't a way to limit the number of each Price Type sold.

How are others dealing with this?

Thank you!

Hi Bobbi Eggert‍ - You could set up an event record and OLX event form for each location.  This would require that you build in a landing page for constituents to choose the event location and then be redirected to the corresponding form.  By doing it this way, you would be able to restrict the total number of tickets sold for each event location.
  • Hi Austen,

We did think about that option, but for our
situation, it just didn’t make sense.

We were selling tickets to 8 different
location attractions like our local zoo, the Mall of America rides,
mini-golf courses, etc. and we really wanted people to be able to
go to one website to buy 2 zoo passes, 4 golf passes, etc., instead
of having to go to 8 different websites and enter their
billing/shipping/credit card information 8 times.  This also
would have charged us a separate fee for each transaction, and been
more processing on the back end.  We would have had to
consolidate acknowledge letters as well (which we mail out
    hard-copies).

As of now, our event has been postponed due to
the national events going on now.  But we plan to just “wing
in” and do a manual live count as we sell tickets ?

    Thanks for the feedback!

    Bobbi

  • Unfortunately, you can't limit by ticket type with OLX. You can only limit by the total event.

We went around in circles about this for our large community events with lots of activities (30 or more), each with its own ticket type. Ultimately, what we decided was to use a different platform for that event (eventbrite) and to use OLX only for the kinds of events where we had only a few ticket types and a slower pace of selling out.

When we do use OLX (for our gala and for events where the invitation pool is limited), I run a daily ticket sales report to track, remove ticket types from the sheet when I see we've reached their max or end (such as an early bird price), and close the portal when we get within range of our total max.

Good luck with your event when it is back up and running. Hope you and yours are well.
