Sending Annual Statement Reports

Without individually running each person's report, how do you send your detailed annual statements of giving to your constituents each year for their tax purposes?

  • we have a group of queries that will summarize the donors total giving and then export the data into Crystal allowing us to customize the wording to the donors.
  • Do you use mail merge to e-mail to the constituents then? We are looking for a way to send their annual statements to them without having to go 1 by 1

  • How do you add the tax exempt language on the statement since the page and report footers will not allow for enough characters? Is there any way to do it when running that report? What I have done in the past is export each one into crystal reports and add the blurb in a text box. I basically know nothing about crystal reports but I have been able to add the text box.

    Sharon Campbell‍, that is the challenge I'm having as well.  I want to use only the Annual Statement, but it looks like I'm going to need to add a letter to it since I don't want to move it into Crystal Reports.  I'm interested to hear what others think of our challenge.
  • This is how we do it - Create constituent queries to identify donors to send year-end tax letters. We then use an Export with an Export format type 'Blackbaud Simple word merge (DOCX)', which will give you an option to create a word merge document within Raiser's edge with the fields you choose in the output of the Export. The fields from the Export output will be available as merge fields in the merge document. Please refer to this Knowledgebase article on how to use the Mail merge wizard in Export to create a simple merge document.  Hope this helps.
