Tracking student participation for Alumni Affairs & Development (AAD) work

Options
The Yale AAD Marketing & Communications team is looking for a way to track on a student’s record that they were asked to participate in a student video or have a profile written about them by anyone in AAD. They requested an interaction category, but doesn't feel like best solution.  Key factors to code are:
  • Fact that they were asked/selected
  • Response – Did they agree or not.
  • Ask Dates
  • Comment/description: free-text ability to write a description of what they participated in (ie testimonial on online giving page, thank you video…)
  • Ability to differentiation between category type (ie written/video…) – OPTIONAL – could be part of the comment above
Some ideas we are considering: interaction category, student involvement, communication correspondence, documentation note, attribute.


Anyone else solved a similar need in the past? If so, what was your solution.

  • We use the educational involvements to track as much as we possibly can about a student's time on campus.  You could just make it a category under involvements.  You can store a link to the video in the comments or the position field, as these are free text, along with the date it was done.   We track everything from student awards, study abroad and athletics participation as involvements.
