Coding existing donors for new appeal

Options
Hello.  Not new to RE, but new to organizing existing donors.  We have a list of top 20 donors that we need to code as top prospects/donors.  What is the best practice for coding top tier donors, middle tier donors and lower tier donors?  Thank you. Mark C.

  • Hi Mark-

There are a few ways to do this so you'll have to determine what might work best for your organization. Here are a few ideas to get you started.

    1. If the top 20 donors are based on strict criteria that only these top 20 donors meet, you don't need to note anything in the database. Simply run a query with your strict criteria and you'll get your top 20 donors.

    2. If the criteria for top donors changes or if you want to specifically track these 20 special donors regardless of how individual donor activity changes over time, you could use a Constituent Attribute. Perhaps something like Donor Type with the values of Top Tier, Middle Tier, and Lower Tier.

    3. You could create three organization records named after these tiers and create relationships between donors and the Org record corresponding to their tier. I wouldn't recommend this method for this specific task, but it works well for tracking board of directors, student athletic teams and clubs, committee members, etc...

  • The other possibility, assuming you have the prospect module, is use the classification or status fields for something like this.  Obviously this would need to be manually updated but unless they're based upon some specific type of data and you can use a query as Aaron said however you code it will need to be done manually.
