Letters to Individuals vs Letters to Organizations

When I create a conditional letter through Mail>Receipts>New>Send to Word Merge Wizard, I want to include the following at the top of letter:


<<Addressee>>

<<Organization Name>>

<<Address Block>>


On letters to individuals, I would like the Address Block to follow directly after the Addressee, without a line entry of space where Organization Name is. On letters to organizations, I would like the Organization Name to appear directly between the Addressee (Contact) name and the Address Block.


I am already using the conditional mail merge to differentiate my letters based on the letter code entered on the gift record for the important purpose of creating specific and different letters for gift-in-kinds, general gifts, consolidated gifts, etc. In an RE class, the instructor said I would need to use the conditional field to differentiate letters between individuals and organizations but this is not possible due to the fact that I use the conditional field to differentiate based on the letter code (as noted).


I know it's still possible to have letters read as follows:

Letters to Individuals

<<Addressee>>

<<Address Block>>

Letters to Organizations

<<Addressee>>

<<Organization Name>>

<<Address Block>>


I know this is possible because another university has achieved it while still using the conditional field for other purposes but they can't remember how they did it. Anyone have any insight?

  • We do something similar with our letters, it's a Word thing rather than specific to RE. You'll need to arrange the field codes slightly differently - this article should help you.

    Totally solved my problem....


    Do you ever have the problem of line breaks appearing between the street address line(s) and the city/province/postal code line of the address block? I was using the address block to ensure address lines weren't missed but I guess now I could use this new word formula with individual address lines.
  • The weird thing is... the space in the address block only appears on some letters and not others. Considering the address block is one field, I'm not sure why the space is appearing.
  • Are your users adding an extra blank line at the end of the address lines when they enter them in RE? We get that occasionally, I guess people just hit return again out of habit. We encourage our staff to use Address Accelerator which sorts out those kinds of formatting issues.
