Completing pledges

We converted to RE in October 2018 and I have been sending out pledge reminders, only to find out that some of the pledges who don't have a balance have not been marked complete.  I thought this was an oversite with the conversion, but applied a payment to a pledge yesterday which was the last payment and although the balance says $0, the pledge still shows active.  Is there something I am missing?  Does RE change the pledge status automatically when a pledge is fulfilled or is this something that I just have to remember to go in an change after the fact?  Is there a business rule to address this?

    Ditto other replies - I've never found the active/completed field in RE to be of much use. As you said, it doesn't change and really isn't used to process mail/reminders etc.

    Matthew Nareff‍ , are you saying it actually does end your recurring gifts? I have not found that to happen.  Years ago I talked to support about using the field and was essentially told it just lives as data to view on the gift record and did not affect payments.  Would love to know that it's changed.
  • Like was said above, we use it way more in our recurring gifts.  It helps us see, at a glance, if an employee changed their payroll deduction recurring gift of their own will or if it terminated because they terminated employment with our hospital.  We manually change that field as appropriate.
  • I'm not sure if it automatically stops payments.  The only time we ever really use it is if someone tells us to stop or we're having credit card trouble and we haven't heard from the donor to update credit card information in a few months.  We'd mark those as terminated.  Just so it doesn't look like it's hanging out there and we haven't been missing payments.  I know in NXT we will have the ability to have recurring gifts done automatically so the active/terminated field might be needed then.
  • Very little in Raiser's Edge is "automatic".... This initially drove us nuts, but now we generally appreciate it.  We use the Gift Status field to give us a little more info about the pledge itself.  Here's how we read it:

    Active: The pledge is still open and we still expect payments in the future.

    Held: The pledge is still open but there's a chance we won't be able to collect on it.  We don't use this much, be have had some "financial hardship" cases where we've put pledges on hold for a year or two and then made them Active again.

    Terminated: This pledge has NOT been paid in full, but has been written off.  The balance is $0, but it shows that the donor did NOT pay the pledge.  It's easier than looking for pledges with write-offs in many cases.  We use this a lot with Phonathon pledges.  If someone has TWO or more terminated pledges in the last 5 years we don't even bother calling them.  We nickname them "LIARBUNTS" because they pledge money over the phone with no intention to ever pay ?

    Completed: We use this to mark pledges that were successfully paid off by the donor.  


    Our gift processors simply run a query at the end of each day that looks for all Pledges with a Balance = $0 and a status of Active.  Those pledges have to be manually changed to Completed or Terminated.  It only takes them a few minutes to do most days.


    When we do a Global Write Off of old Phonathon pledges we just create a query of changed records and then set all those pledge status to Terminated using the Global Change admin function.
  • I only see that Gift Status field with Active/Held/Terminated/Completed available on a Recurring Gift Pledge.  I don't see it at all on a "standard" Pledge.  Am I missing something?
  • I see the Status/Date fields for both gifts that have a Gift Type of Pledge as well as Recurring Gift.  Stock and Planned Gifts also have custom fields.  We've always had the Status field there and we've used it for years.

  • Tom Klimchak‍, that's very curious.  I don't get those fields when creating a new Pledge record.  I wonder why???  EDIT:  We don't have the Planned Giving module.  I wonder if it is tied to that???


    We're self-hosted (not NXT) on 7.96 Patch 8.

  • You know, that is strange, because yesterday I could see both the completed and the send reminder button and now they are both missing.  I am hosted with NXT as well.
  • We moved from self-hosting to Blackbaud Hosted in December 2018 and we always seemed to have Status with Pledges.  We're now on Blackbaud Hosted RE Version 7.96.6402.14.  


    We've seen a lot of issues with different NXT users having radically different onscreen experiences due to different versions, but regular Raiser's Edge is usually good about that sort of thing... uh oh!  


    If we lose that field (on top of all our other hosted issues) I'm pretty sure there's going to be a riot here.  ?


    Maybe someone from Blackbaud could weigh in one why different people see different fields on the gift entry screen?
  • Getting that field on a standard Pledge record must be tied to having the Planned Giving module.  I just did a test in the sample database, which has all optional modules active, and I did get the field:

  • I found mine after I actually selected pledge as the gift type.  I'm a dork!  I would definitely check with your Database manager if that isnt you.

    How would NXT have ability to have recurring gift done automatically?. Generally by definition a recurring gift does not have an end date.  Are you using them for 'pledges' and only scheduling a certain # of payments?

  • I'm not using them all currently.  I just sat through the NXT roadmap webinar a couple of days ago and the automatic recurring gifts is something that's supposed to come out in the next few months.  And the fact that there's no end date is part of the reason to do this, they'll keep happening until you tell it not to so you don't have to worry about it each time you need to enter recurring gifts, it just happens. That's why I was thinking that that gift status might be the trigger for NXT not to keep charging the recurring gift.
  • I use the Status field for pledges and show it as a column on the Gifts tab.  That, along with color-coding write-offs, is a quicker reference to pledge statuses than looking for zeros in an amount column.  I also do a global change when balance = zero and status = active.
