Sports/Club Attributes

We moved over to Raiser's Edge in 10/2018. We initial placed our sports and clubs into the Constituent attribute field, but now realize that there is no end date. How is everyone else handling this issue? Is there a better place to store history data such as men's basketball 1994-1998?

For all sports:

Category - is the sport they played

Description - is the academic year

Category: Lacrosse (Men)

Description: 1997 - 1998

There is an attribute for each academic year they played

Lynette, how are you going to use the information? Is it necessary to have each year detailed so you can filter on them or is the sport/club the thing you'll be filtering on and just including the years.

I like what Christine does. You could also give each club/sport an organization record and then put members on the relationship tab, using the date from and date to there. We do that for our various boards and their board members.

I like Christine's method too. Do some people end up with dozens of attributes though, if they belonged to multiple clubs for multiple years?

I inherited a system of using organisation relationships for sports teams and other clubs, which lets us add information such as position (e.g. captain, vice president) as well as start and end dates. Most of them are non-constituent relationships, however some of the clubs also have constituent records if they've fundraised for us for example.

I have worked at four schools. I have always stored this data in the Primary Education Attributes. Category: Athletic Teams or Clubs or Awards, Description: Basketball, Baseball or Latinos Unidos, Book or Smith Scholar, Community Volunteer. and lastly the Comments for the school year they participated 1998-1999 or 2015-2016.

If they participate for more than one school year, then each year is a separate line item (this way you can search on the info cleanly)

I too record these in the Primary Education Attributes. I don't necessarily like our solution, but it works:

Category: Program (Athletic Team)

Description: Team (Soccer)

Date: Start Date (9/1/2016) - I always use the beginning of the school year for no good reason. I guess I can query start years.

Comments: Years (FY16,17,18)

When I query I can pull all Soccer team members by querying the comment as "Contains 17". If the comment was "2016 - 2018" than it take an extra step in excel to find who was playing in 2017. Also is a student takes year off then you are adding an additional attribute, not that big of a deal, but it does muddle up your queries and exports.

We use primary education attributes, but I use the Comments field to input "Active" if they are an active member of that team or alumni group. Those without "Active" in the Comments field played the sport, but quit, were kicked off, etc. and we wouldn't want to solicit them or invite them to alumni events based on that attribute.
