How do you identify duplicate gift records?

Options
I am attempting to balance our appeals for an event that generates gifts throughout the year. The gifts are bulked imported from another database through Import-O-Matic ... I believe I have about $24,000(+/-) of duplicate gifts. There is no way to go through about 7,000 donor records individually to find who has duplicate gifts in their records.

How can I build a query to identify the potential duplicates so that I can then eliminate the overage in our system?

  • Just a thought...

Are the gift dates all the same?  Or are they in a short period of time?  Do they all have the same unique appeal or fund?

If any of these are true, perhaps run a constit query for records with 2 or more gifts during that date, time frame, with that appeal or fund?

Use Summary Giving...Total Number of Gifts Equal To or Greater Than 2 and then set criteria for the summary to be based on a certain day or in time frame or with the appeal or fund.

  • Would it not be true that each gift entered into RE has its own, unique Gift ID?  Could you sort your bulked list by Gift ID to identify these dups?
  • There would be within a 6 month date span, and it would include about 4,000 or more unique constituents many of which many donate more than once in the appeal because they pledge more than one walker..

I will not do it through the export due to some problems we have had with the import.

Shani, I will give your suggestion a try and see how that works.

Thanks for everyone's input. I will update the results and ask more questions if I have additional questions.

  • I'd try a Constituent Query.  For the Criteria;  Summary Information -> Summary For Gift -> Total Number of Gifts "greater than" 1, then on the Filter tab include the details that duplicates would have in common.
