Raiser's Edge Security Groups

Options
We recently adjusted our security groups in RE7 to lock down the system. Our largest group of users is primarily a 'view only' group. This group used to have the security rights of ‘edit’ for address and phone numbers for the sole purpose of being able to click in these fields so they could copy/paste info. Now that these fields have been set to view only they are no longer able to click in them to copy info from RE and paste it outside of RE. This is an inconvenience for many users but it locks the system down, which is necessary.

Does anyone know of a good way to prevent a group of users from editing constituent addresses but still allowing them to copy address/phone numbers from RE constituent records? How does your organization handle this?

With view only do they have access to click on the Word Document link in the constituent record? Perhaps the word document can be created to include the lines that they may need to copy and paste.  They could then open the constituent, click on the icon and copy and paste from the document.

  • They do have access to 'write a letter' so editing that is a great idea. I will create a custom one and see if this works for them. Thanks for the help!

Discussion moved to Raiser's Edge forums. Thanks!

  • I actually just ran into a similar situation. Our segment of users has always been read-only, without edit capacities, but now one of them wants to be able to modify the letter menu (and copy and paste addresses). From what I've read it seems that a user must have Export privileges in order to generate a letter based on a Letter Export. I don't really want to open up Export to this group. Any ideas?

  • Without the ability to access Export you cannot use the custom letter function since that relies on Export to build the letter. I don’t think this is possible unless you can find a way to modify the built in template that is tied to ‘Write a Letter…’.

I recently updated our security groups. I created 5 levels for editing, 3 levels for notes, 4 levels for view, one for membership/events, and one for dashboards and reporting (which includes queries and exports).

This way, I can tailor each person's security to what they actually need to view and do. For instance, many departments use student workers who are verifying that someone is an alum,  so we lock them out of viewing gifts, prospect info, and sensitive notes. By creating the groups the way we have, we can be more flexible when someone needs higher level rights. Instead of having to update an entire group of people, we can train one person and give them higher security rights.
