How to Enter an "C/O" or "ATTN:"

Hi - I am trying to figure out the best practice for entering addresses that contain not only a business name, but an "C/O" or "ATTN:".  Some of our constituents like to be addressed as the following:


Mr. John Doe

c/o Jane Smith

ACME Company

1234 Smith Street

New York, NY  12345


Where I am struggling is where to enter the c/o and the company consistently so that it is easy to view in one place without having to hunt around for the complete address across various tabs.  If I enter this information in the Address 1 line in Raiser's Edge and we run NCOA , then we lose anything on the Address 1 line that isn't an actual address.  I know for some organization addresses I could enter the organization under the "Business" button if it's their employer/business or I could enter it as an address on the address tab or create a constituent record.  But, if I do that, I cannot see the organization name on the Bio 1 tab.  I need to be able to view the address as the above-typed example above.  I hope this isn't too confusing; I'm just really struggling with this.  Any help or advice would be much appreciated!  (P.S. - We have RE NXT.  I'm wondering, once we get more acclimated with NXT, if that will be the place to better see this information.  We just migrated a couple months ago from another donor database so I am still trying to figure things out.)

  • Cathleen, thank you very much for the article.  That helps tremendously!  Now, one more question:  If someone's preferred address is their business address, it will show on their Bio 1 tab, correct?  If so, why can't we see the organization name on the Bio 1 tab as well?  This is where it gets confusing when you want to look up an address; you have to look in different places for the information.  
  • Stacey, that's correct. Unfortunately you  have to go to the Relationship tab  to see the Orgs name. When you click on "More" next to the address on the BIO one tab you can see the type of address though. In this case "Business". Maybe you can teach your staff that this should trigger a look at the Relationship tab.

    I would not recommend to add the Org name as a separate line.

     

  • Thank you again Cathleen.  I really appreciate it.  We also have the NXT piece and if I remember from training, we may be able to see all this information in one place via the NXT view.  (I'm hoping!)  I know this will all eventually kick in but it is a bit of a learning curve!  Thanks again!

     
  • It may be in the article that Cathleen posted a link to, but I would consider putting the Care Of information on the second line, and then when you do a mailing, use Address 2 followed by Address 1, etc.  That way, when you look at the Address in RE (specifically additional addresses on the Addresses Tab, not the Preferred Address on Bio/Org 1) you see the actual address without needing to open it up.  Really helpful when you have a lot of duplicate Address Records.  And actually, per USPS standards, the unit number should be at the end of the address line unless it doesn't fit, and then it should be on the line above, not below.  So if you also have cases of this in your database, you can still put Address 2 followed by Address 1.  (Because the machines read the address from the bottom/end, up...zip code, then city/state, then street address, then unit number, then company/individual name, which is usually the letter carrier, not the machine at that point.)


    However, this isn't a problem in NXT, as you see the entire Address Block for all addresses.  (You still don't see the Org Name for business addresses...but I encourage you to vote for this Idea in the NXT Idea Bank.  Also this Idea, which I just added a comment to.)
