Batch Queries - any reason to save

Jill Freidmutter has inspired me to clean up our queries


One big group is all these batch queries - when we commit a batch we create a query that we can use for letters and for an export we give to finance


Since I could create these by a gift query with a batch number can anyone think of a reason we should save these?

    I don't have a reason for you. I delete ours from previous year. My 2 cents go for it. Yes, easy to recreate if ever needed - at least 99.9% accurate as original query might have a record later changed.

    I would only save them for a week and then delete them.

    We don't even create them. We don't organize our acknowledgements by batch and we can create a query for a batch at any time. We keep the actual batches for two full fiscal years. So this summer our Development Operations Assistant will delete any non-template batches that are not for FY17, FY18, or the current FY19 (10 days in for us).

  • We don't create the batch queries either, but we do keep all of our batches. I don't think that's due to our policy as such, just that we've never got around to deleting them! Perhaps it's time for me to spring-clean the batches...

    Alan - we keep all our batches as well...never thought about deleting those...hmmmmmm...

  •  Do you know how to delete multiple queries at a time? I assume you do - but just checking. Learning that some years ago helped me clean them up pretty quickly.

    One at a time - not so much  :)


    I think I'm down almost 1,000 not needed queries - so many being all those batch queries...OMG

    Will jump in the discussion in case you're wanting to delete now. When you are on the query screen, click Tools menu at the top. Option there to delete multiple. I'd always gotten to Delete Multiple by right clicking anywhere on the list of queries.


    It opens a window with all the queries that fit the Query Type and Query Format selected.  Nice because you could select all static gift queries and use select all if you really needed to get rid of them all.


    There's also a 'show only my queries' check box at the bottom of the window.


    You can select and deselect at will - deleted when you click "delete now" and if I remember there's a confirmation again to click.
  • I have found it INCREDIBLY useful, on occasion, to be able to have those original queries still available during audit times.  So, our practice is to save them for 2 years, and then delete.  It's part of my monthly cleanup queries that are built.  Same for batches.


    I agree, it's always great, and usually fun, to see what others are doing!

    Backups using more & more storage...

    Deleting & recovering space.

  • Hmmm.  Almost 4K batch queries to walk through with Delete Multi...  Any known methods to instruct RE7 to delete all queries with wildcard names like 'Gifts Posted as Batch 2009#*'?

    I have unfortunately never been able to use Omatic's products for various reasons, but they do have a very good reputation.

  • Saving Queries is great when you're new in database work and can't remember what has been done, or what all your query options are. But once you're experienced enough it's often just easier to recreate a query when you need it, unless it has especially complex criteria. Same with Exports!

    Faith - I've found this to be SO true...more often than not, I forget I created the query/export and just go from scratch anyway

  • We keep ours for about a year (or 2 when I'm slow with my cleanup) because it has been incredibly useful to have them at times - audit, cleanup, etc.  Then they are deleted.
