Is there an automated way to track donors who move up from one giving level to the next giving level?

Options
These are donors who give more than one gift annually and may be the one giving level in January and move up to a higher level in December? Want to include the different level of giving in the thank you letter.

    In membership you can upgrade/downgrade during cycle and link the gifts. Within membership you can create different levels and benefits for each level. Also when its time to renew if they sent in a larger gift to boost them to the next level (or a smaller gift that downgrades) you can renew with an upgrade or downgrade.

  • Slightly more manual, but if you are only doing this say for year end letters, you could use the comparative report, export to excel and then sort by gift totals so that you could group your giving levels 
  • If you are using Donor Ack Letters in Mail you could include the "YTD Amount" field and then use a fancy schmancy If-Then statement in the Word document.  Depending on how many giving levels you have the statement could get a bit complex and long.  The statement would have to calculate their level before their recent gift (YTD Amount - recent gift amount), determine which level they were in before, calculate their current level (based on YTD Amount), and then compare the two levels to see if it changed.  I've done something like this in Crystal Reports for updating custom Prospect Ratings, but I've never done it in Word.  So it may or may not work.  wink

    This is the answer I would have given.  However,  If they made a donation right after the end of year but was intended for the previous year, you may confuse your donors.

  • We had a more manual system at my last org (a tribal college). I ran a query every month to see if we had new members of the "President's Circle", which was for donors who had given a cumulative total of $1000 in a fiscal year. They would only show up if they had reached that goal, and if they didn't already have the attribute I would add it. A couple times a year, I would sort it by giving amount, and the "Level" from the Attribute (Bronze, Silver, Gold, Platinum) would then show me if I needed to upgrade the person. It didn't make a lot of difference, and we only referred to it in the initial welcome letter, but it was a nice "at a glance" tool for the Director. We only downgraded people at the end of the fiscal year - FY18's group was based on FY17's giving, plus any newbies in FY18. At the end of FY18, in preparation for FY19, they will check FY18 giving, downgrade those who were still in the circle, and directly appeal to those who were dropping out because of lower giving levels in FY18 (if it seemed worth it). We're only talking about 150 people, so it was easy to do.

  • I do this manually through queries, and update our giving levels every week. We have several levels, which I use constituent codes to keep track of. I am sure to date the From: when they start at that level, and To: when they leave that level.


    $300-$999 in 1 year is a "Family Sponsor"

    $1,000-$4,999 is a Partner

    $5,000+ is a Leadership Partner


    I run a query first for our Leadership Partners. I say anyone who is not already labeled an LP, but has given $5k+.. show them to me. Then I code if accurate. Then I do the partners, and then family sponsors. We do a purge twice a year and remove anyone from that giving level if they haven't met the criteria for 2 complete fiscal years. After I've updated donors for the week, our receptionist runs a report on those giving levels for management to review.
