Board of Trustee, where to put this information

Hello all,


Currently, we keep the BOT under membership. what is the best way for the organization to keep this kind of record. We want to pull reports from different board that we have in our University. I do not want to use attribute because the term year will keep changing. Please provide any information how you guys keep this kind of information and how to pull these names easily. Thank you in advance!

  • Perhaps Constituent Code? You can easily add date from/to to identify terms.
  • We track this through relationships.


    Each Board has it's own organization record (Board Of Directors, Trustees, Chairs for Life, etc) as well as each Committe (Housing Committe, Governance Committee).


    We then set up an org/indiv relationship between the Member and the Board/Committee.  We track the relationship From and To dates as the dates served. 


    When active, Mr. Harris has a relationship with the Board of Directors Record with the Relationship/Recipricol as Member/Leadership (or perhaps the reverse!).  When he leaves the board, it switches to Former Member/Former Leadership.


    This allows you to look at Mr. Harris's relationship tab to see his current and former board service.  And you can go to the BOD or Trustee ORG record and see current and former members.


    For Commitees, we use Member/Committee and Former Member/Former Committee

  • We actually track them the same way you do, in Membership.


    We have a few different Boards, so we track each one as its own program. We then use Category to track their Role on the board. We have multiple hospitals that make up our system, so we use sub category to track which hospital the represent.


    We use the start date for when they start and enter the Expires data to note when their term ends. It works out really well.

    We use a constituent code for this.  And like someone else said on this thread, you can use the to/from dates on the constituent code to define when the term begins/ends.
  • I also use a constituent code to define board/trustee members. I update these constituents each quarter or so to be sure I can reliably query off of their date from/to.
  • If you have the Volunteer Module, that can be an option.  Otherwise, I'd consider using both Constituent Code (for quick and easy use) and Relationships (for additional detail).

    We use Constituent Code.

  • If you ever want to do "historical" reporting on Board Giving, the best place to keep track of this is Constituent Code - this is where RE reports and Exports pull from, using the To and From Dates. Not that you can't make it work if you store this data elsewhere, but it is significantly easier if you use Constituent Code.

    We use constituency code (we only allow one per record) and the Educational Record.  When they leave we put the date in "class of", we also use statue and "date left" if they resigned.

  • We use the Constituancy Code, and use date from. Once they're no longer B O T, we change them from Board member to Former Board ot Trustees. At that point we use date from and date to for their total time on the board.


    Not sure if this would work out for you folks, but it seems to help us. =D

    We use a board member constituent code and keep their committee participation under attributes.

    We use constituent code - Current Trustee and Trustee.  We also make use of the date from and date to fields to keep track of former trustees.  Makes pulling reports easier.

    We use constituency code to track Board of Directors, Board of Trustees, Auxiliary Board Members, etc.  I use the from/to dates and can run lists based on whether they're current or past board members.

  • We use TWO codes for them.  They're the only people we do this for.


    We use a Constituent code when they are current trustees.  


    We also track their terms in relationships.  We relate them to an organization record called "Board of Trustees" with start and end dates.  We can track job duties, positions, etc in the relationship tab.  


    A lot of our trustees leave the board for a while and then return, so when they return we simply create a new relationship record (new term) and give them the Trustee Constituent Code (easier to query on)...
  • Just curious, how many board members do you have and what are their terms? We have close to 50 members at any time, and 10-12 roll off/on each year. I like your plan, but it sounds awkward for our size.

    Board of Trustee for YOUR Org?  That is a primary affiliation to your institution.  I have always put that info as a Constituent Code.  Trustee-Current and Trustee-Former
