When I was a newer user and doing data entry, I maintained a couple dashboards that pointed to queries for records created that day/week and records changed that day/week, both by anyone and specifically by me. I refreshed them every 4 hours, I think, so that I could look in the morning, after lunch, and before I left for the day to catch anything that didn't get fully filled in (missing titles, missing preferred name, stuff like that) and catch any duplicates before they got too complex. Since I was working with the membership and visitor engagement department, I also maintained similar lists for membership and event participant records. I didn't handle the gift processing part, so this let me see when the gifts hit and check if I needed to update anything.

Now that I'm one of the db managers, I set up a similar membership dashboard for our new membership coordinator, but I just go straight to the queries myself when I need to see the daily activity. We've expanded a lot in the last six years and have a lot more gifts coming through daily and also a lot more daily maintenance/clean-up on the records, so I don't think a general record-add/change dashboard has as much value, since it's limited in space and scope compared to the other tools at hand. The membership and event ones are definitely useful for those teams, though, since they don't handle the gift part.

  • Hi Colleen-

I use Dashboards (specifically, Solicitor queries) to keep a constant eye out for data integrity issues. Below is a list of mostly self-explanatory queries I check at least once a week.

    Gender Populated, No Title

    Title Populated, No Gender

    Missing Title and Gender

No Valid Address, Remove Send Mail checkbox

No Street Address, Check No Valid Address

    Missing Add'l Addr/Sal

    Missing Spouse Title

    Missing Spouse Gender

    Missing Spouse Nickname

    And one gift query:

    Gift missing Constituency Code

  • Thank you, this is great!
