Query Output Phone Number Selected as Primary

Options
I want to create a constituent query outputting the phone numbers selected as primary and emails selected as preferred.  Is this possible?  If yes, how?

  • Unfortunately, no. The only way to successfully output only preferred numbers is to use Export. If you just want a static list generated at a point in time, this is fine, but if you wanted to create some sort of interactive sytem for your solicitors or something like that, then this just isn't an option from within Query.
  • The [Primary] (and [Inactive]) checkbox on Phones can be tricky, because it's not really tied directly to the Phone Fields.  However, I think you can do what you're wanting to do like this:

    If you get to a point where Query isn't getting you what you need, definitely go to Export, because you do have more flexibility with Phones there.
  • You know what, now that you say that Jen I think you're right - I have the foggiest memory of messing around with that criteria once and being surprised that it only output the primary phone and didn't duplicate lines or anything. 


    But it'll take some testing to be sure it's doing the right thing.
  • It will Output duplicate rows if you select as I did and one Constituent Record has a Primary Telephone and a Primary Email.  If you don't use Phone Type criteria at all, you could also get the Primary Fax, Primary Link, and Primary Other Phones.  Depends on how you plan to use it (and if you'll be adding other fields to the Query).


    Early on at my last org, I just created Phone Types for Inactive...and had I wanted to use the Primary checkbox, I'd have probably done the same and used [Preferred Phone] or [Primary Email] instead of the checkbox.

    Thanks Ryan and Jen for your responses.  I am trying both option in query and export.  I ran into duplication in query.  I am also filtering by constituent code, so I am not sure I can do both.  I am learning and appreciate your input.

  • Every idea here is spot on!  You really can't easily list the Primary Phone in a query.... 


    I'm not sure if we're doing this right, but we found that if we want to export out multiple phone numbers, but have the Primary Phone come out first, that we have to set the Phones Export Order by Is Primary? and choose Descending order (because 1/true is greater than 0/false)....

  • That might work, but you still might end up with email addresses where you expected phone numbers and vice versa.


    So what you need to do is have two separate Phone Number export fields. The way to do this is to set up the first one just for primary phone number and only export 1 column. Then click to the very top of your output fields where it says "New Constituent Export" (or whatever you've named this export) and then go in and do another phone export and set that one up for your email address field. If you don't do the step where you click onto the "new constituent export" header at the top of the Output field, you'll end up just getting multiple instances of a phone export using the exact same parameters, which is obviously not what you want. In fact it's obviously not what anyone ever wants, so I'm not sure why Blackbaud hasn't come up with a more obvious solution.


    Anyway, once you've got your two fields set up, you can right click on each of them and rename the column heading so it's human readable.

    I use the same method - I tested it on tens of thousands of records when we moved to 7.96 and in every case it gave me the primary phone first (where the constituent had one marked as primary) so I'm pretty confident that it's working as expected.
