LYBUNTs

for those of you who pull LYBUNT lists for mailings (i.e. we are doing an annual fund mailing, and trying to pull a LYBUNT list for those who gave to Annual Fund 2017 but have not given to Annual Fund 2018), how do you do it? I am having some difficulties and just would like some new ideas!

Thanks!

  • I literally just did this yesterday!

I used a constituent query to generate a list. I used the Summary for Gift tab to include those who had a gift associated with criteria from the last years appeal, and another Summary for Gift to identify those records with no gift associated for this years appeal.

Then I also selected specific solicit codes and attributes that I needed.

From here, I used EXPORT to create my final mailing list based on this query. I included the gift summary information from last year in the export also so I could drop it into the letters.

I hope this helps a little.
  • Hi Kerry,

The way we pulled this recently was in 3 steps! I hope this can help you, and please let me know if you have anything you'd like to add to it...

    1. GO to Reports, Analytical Report, LYBUNT, change/add the dates and make sure you select output query.

    2. Go to (output) query saved, add criteria and output.

    3. Go to Exports and create and export with this query to see clean results (Name, address, gifts in 2018, 2017 etc).

I hope I didn't miss anything! Good luck!

  • Pop a query into the report with your information about who you want. for example alumni, class, do not solicit, etc.

What query do you use? And also what filters do you use? I'm a bit confused with these canned reports!

    Hi Kerry,

Depending how broad your Annual Fund is in RE, there are a couple different ways I would pull a list.

    - If your Annual Fund (AF) is set up year to year as a gift appeal such as AF16,AF17,AF18.. I would do a constituent query and say "Gift Appeal ID equals AF17 AND Gift Appeal ID does not equal AF18", that would pull those who gave last year not this year. We have an export template set up for mailings, so I would use my query as a source for that and generate a spreadsheet of mailing addresses.

    - If your AF is set up as a campaign that spans multiple years. Constituent Query and say "{Campaign ID equals AF AND Gift Date between (2017 timeframe)}, AND {Campaign ID equals AF AND Gift Date not between (2018 timeframe)}". Same export process as above.

    Hope this helps!

  • Kerry,

Query: In Reports, you have the option of creating an output query. I selected that. Then went to queries and found the output query saved (saved wherever you see fit).

Filters: In Reports, I did not select any filters, that's up to you.
