Recurring Gift Batch - Issue

On the 15th I went to Automatically Generate Transactions/Payments in batch for recurring gifts (not yet creating EFT transactions).  Instead of just getting the few recurring gifts we normally get to process on the 15th of the month I received over 150 gifts - old recurring gifts we never received updated credit card info on, previous fiscal year recurring gifts, etc.  This happened once before a couple of months ago and I exited out, deleted the batch and started over and got the correct recurring gifts to process.  I tried exiting, deleting and doing a recurring batch again with the same results.  I called RE support and they said I need a query to tell the batch which recurring gifts to pull, but that if a recurring gift had missed a payment or two (i.e., insufficient funds) the query wouldn't catch those and process along with current month's recurring gifts.  I told the support rep that I have never used a query before since we started doing recurring gifts years ago.  I asked if any changes were made to the system.  The rep said no but then mentioned someone called the day before with the same issue on a recurring gift batch and they told them to set up a query for the recurring gift batch.  I still have to research the 150+ gifts that were pulled to see if they were ever charged as gifts, were just open ended (bad credit card # due to lost card or re-issued card) or if I just need to end these particular old recurring gifts.

    Kris, I don't use a query when auto generating our recurring. I do use one for payroll gifts.  Please tell me are you hosted or self-hosted.  If self-hosted, what version of RE are you running? United States or somewhere else with a different RE version?

    Jenny have you come up with a solution?  RE support wasn't any help.  They told me to close out old recurring gifts but I'm not entirely sure (still researching) that the gifts that pulled were never charged.  I'm curious to see if missing gifts turn up.

  • I don't typically use a query either; however, it is possible to use one in the Generate Transactions process. (Refer to KB user guide for EFTs, pg. 32.) Is it possible that your Setup window used to have a query selected, but someone else changed it to "All Records" by mistake? Once a setting is changed in these windows, that setting change seems to carry over every time you open it, as I learned a long time ago with the "Create offset transaction" and "Create Control Report" checkboxes.


    I would personally suggest going on a hunt through your oldest existing Gift queries to see if any of them is an EFT filtering query. Apart from that, the program only pulls from pledges or recurring gifts that are marked "Active" (as opposed to Held or Terminated), which I'm sure is what the support rep was referring to when she advised "closing out" your old recurring gifts. But to me, even though that might fix it, that shouldn't be the root cause of the problem if it has never done this before.

    Hi Kris,

    Did your organization sign up for Credit Card Updater?  Your description sounds like what would happen if it was run before clean-up and closing out of any old recurring gifts that didn't get ended properly.  (That's why I haven't run it yet, but we're self-hosted.)

    I don't know if this will help but, when we run recurring gifts and some don't process (declined) I mark the recurring gift shell record to HELD. Then it won't populate the next run as Transactions due on or before . . . Once the credit card is updated it is changed back to ACTIVE and processed.
