Entering Planned Gifts - for the Raiser's Edge and for Raiser's Edge NXT

Options
Hello Everyone,

I have a question. How are you tracking planned giving gifts in your Raiser's Edge or Raiser's Edge NXT?  My organization is currently using Raiser's Edge. We will be moving to using Raiser's Edge NXT. We are starting to receive planned giving agreements, of which we want to put into Raiser's Edge. However, there is an uncertainty on how to enter this ""future gift"  in the system.  Would you enter it as zero amount and just give it a gift code of planned giving?  I would greatly appreciate your input.

All the best,

Elizabeth

  • We do not have the planned giving module, however, I enter the gift as "Other" you can also select "Gift in Kind" and the amount indicated by the donor. on the reference, I indicate what it's for. Hopefully next year we will have the planned giving module. Hope this helps.

How we deal with this is under the prospect tab create a new proposal and use the amount asked , amount budgeted , amount funded, You can then say like"amount asked is future gift" Amount budgeted speaks for itself and then what the prospect or donor actually gave. We then run a Budget vrs Amount funded query to get the difference over a fiscal year. Helps the solicitors a lot.

  • At my previous organization, our planned giving team had worked out an average amount for planned gifts received, and if they did not have any info from the donor about the size of the gift, they entered this estimate instead. They used the "planned gift" gift type and everyone knew not to count it toward revenue.

At my current org, we report more on funds raised rather than funds received. We are talking about using the "stock/property" gift type for things like real estate that we are planning to sell, and then when it's sold, we'll enter that as stock/property pay-cash. That way we'll be able to track what we expect to receive vs. what we actually receive. We use "planned gift" for things like bequests or other future cash gifts. I think using a gift code could also work if you don't have the planned gift module.

We are also at the start of a planned giving initiative. We don't have a prospect table or a planned giving module, so we are also using gift type "Other" exclusively for planned gifts. If we know the dollar amount, or a reasonable estimate, we enter it. If not then we leave the amount at zero. I enter the fund as "Estate" unless we have documentation regarding donor designation. If more information comes in later, I update it within the gift. I also make notes in the gift reference box. When the estate is settled and the money is received, I enter it as a new gift, using "Bequest/Estate" as the appeal, and delete the original "Other" gift. (Applicable notes can be copied to the Notes tab.) If the gift is something that must be sold, such as real estate, we leave it in the original "Other" tab until the sale is complete and the money is in.

Using gift type "Other" exlusively for this purpose allows me to exclude it from other financial reports, and to run reports on planned gifts.

    Hello Elizabeth,

We have the planned giving module.  We enter the planned gift using planned gift type.  We also have NXT.  You can determine what to include in your analytical reports for giving.  We include planned giving.  When the gift arrives it is entered as cash and applied to the planned gift.  The planned gift is then marked as realized.  The gifts are linked via the realized gift tab.

Elizabeth, we don't have the planned giving module, what we started to do is use attributes. Which allowed us to create a drop down menu for description for how we expect to receive the bequest, ie. will, insurance.  We then use the comments area to list how they want to be listed and the date field is when we received the notification.
